Job Description:
  • Manage personnel processes for ICBR. Initiate in myUFL accurate and timely personnel transactions (hire, promotion, termination, leave of absence, position actions, etc.), and job postings for all ICBR employees. These include OPS and student assistant employees, postdocs, and non-tenure tract faculty and joint appointment tenure tract faculty, as well as TEAMS and USPS appointments. Act as liaison with UF Research, core HR offices and other UF departments. Monitor all HR transactions and maintain HR files. Onboard and offboard employees. Monitor visa status of ICBR employees, if applicable. Coordinate Disclosure of Outside Activities.
  • Responsible for the implementation of state and university HR policy and procedures and the maintenance of current information on university policy. Attend information and training workshops provided by various university departments throughout campus, including monthly HR Forum meeting. Make office policy recommendations and appraises the Director and Associate/Assistant Directors regarding interpretations, applications, and implementation of new or revised rules, policies, and procedures of the University. Maintain ICBR's HR SOPs.
  • Monitor and coordinate the reporting and approval of time and leave in myUFL and act as liaison with the UF Payroll Office. Reconcile and monitor leave reports for accuracy.
  • Track and ensure compliance for employee training, including new hire and annual training. Help coordinate employee retention efforts by organizing employee recognition program, team building activities, and employee engagement activities.
  • Serve as the Effort Coordinator for ICBR faculty and staff. Responsible for entering and submitting effort reporting information for employee certification, resolving discrepancies, and generating the Faculty Assignment Reports (FAR) for faculty and staff each semester in myUFL by the scheduled deadlines; maintain records.
  • Coordinate records disposition requests and disposal of records according to state and UF regulations. Serve as the Department Security Administrator (DSA) and Identity Management Coordinator. Prepare periodic reports as required. Make requests to add or delete security UFID card access for ICBR employees and visitors and maintain records. Request and review quarterly access reports from CGRC Building Manager. Maintain contact information for ICBR all-staff.
  • Backup for various ICBR administrative functions, including CGRC Building Manager for the building security access system (Lenel), receptionist back up if needed. Other miscellaneous duties, as required.
Expected Salary:

$60,000 - $65,000, commensurate with education and experience

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

Preferred Qualifications:

SHRM Certified Professional (SHRM-CP), SHRM Senior Certified Professional (SHRM-SCP), HRCI Professional of Human Resources (PHR), or HRCI Senior Professional of Human Resources (SPHR) preferred
Active notary license preferred
Ability to organize and coordinate work assignments for assigned position and other positions.

Ability to organize and maintain records management system; collect and analyze data.

Proficient use of the following computer software: MS Word, MS Excel, Adobe Acrobat, MS Outlook. Ability to learn new systems as required.

Incumbent must maintain confidentiality and be friendly, professional, and courteous at all times. Ability to handle telephone calls, appointments, and people in a courteous and effective manner. A high degree of tact, diplomacy and customer service is required. Ability to interface with Vice Presidents, Deans, Directors, Chairs, and Government officials.

Knowledge of University and State personnel and payroll rules and regulations. Responsible for a thorough understanding of the rules and regulations of UF HR policies and guidelines, including state and federal regulations.

Proficient with office procedures and practices; preparation of correspondence and administrative reports.

Must be able to work independently to solve problems and meet deadlines, as well as work well with others in a team environment.

Responsible for discretion regarding the expenditure of state, grant and auxiliary funds and personnel salary and confidential data. Knowledge of rules relative to confidentiality of information and a basic understanding of intellectual property rights.
