About the College/Unit/Department

Part of the Division of Student Affairs, University Housing consists of nearly 2.8 million square feet of facilities and is home to more than 9,000 students. The department employs 220 full-time staff members, 21 graduate assistants and 565 undergraduate student workers. As a self-supporting auxiliary, University Housing operates a $59 million budget derived only from student housing fees and other non-state sources.

In support of its mission to provide comfortable, affordable and secure housing options where the academic success and personal growth of residents are encouraged and supported, University Housing engages staff members in competency-based training and students in curriculum-based engagement focused on community building, interpersonal skills, social awareness and responsibility, and well-being.

Minimum Qualifications

Requires technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Preferred Qualifications
  • Graduation from an accredited college/university with a Bachelor's degree; or equivalent combination of education and experience.
  • Experience general office skills including: file management, telephone communication, customer service skills, bookkeeping skills, data entry.


Position Summary

The HR Specialist position is an entry level position of professional human resources work which is distinguished by the complexity and scope of issues, independence and discretion, and technical expertise required. This position reports to the training, recruitment, and retention coordinator, and assists with the design, development, and coordination of the department's comprehensive training plan, recruitment, retention and well-being training initiatives. Additionally, this position assists with developing Housing-wide policies, programs and procedures.

  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituents in a diverse community.
  • Ability to make administrative and procedural decisions on sensitive, confidential issues.
  • Ability to analyze complex information, define and solve problems, and accurately draw appropriate conclusions.
  • Knowledge of Microsoft Office (Word, Excel, Outlook Calendar, Access), and ability to easily learn new systems as needed.
  • Ability to apply standard software applications to data issues and analysis.
  • Entry level knowledge of human resources laws and regulations.
  • Entry level knowledge of concepts, methods, practices, and procedures of human resources.

Human Resources and Training, Recruitment, and Retention Assistance
  • Assist the training, recruitment, and retention coordinator with tasks including but not limited to:
    • Planning, organizing, and/or coordinating the training of the department.
    • Organizing and assisting in recruiting and/or retention programs.
  • Respond to and troubleshoot routine employee or student inquiries in this area through email, phone, or additional forms of communication.
  • Research training and development opportunities with on- and off-campus resources to determine departmental offerings.

Reporting
  • Assist the training, recruitment and retention coordinator to:
    • Track training progress and completion for Housing staff.
    • Create sign-in sheets for in-person training sessions and maintain attendance logs.
    • Prepare or maintain employment records related to events, such as training completion using human resources management system software.
    • Assist with maintenance and updating central database for all departmental trainings to ensure policy compliance.
  • Retrieve documents, such as certificates of completion, to file or document upon receiving training completion.
  • Analyze training and recruitment-related data and prepare required reports to locate and identify inconsistencies or areas of concern.
  • Prepare and effectively communicate reports concerning training, recruitment, and retention activities.
  • Assist in developing Housing HR policies, procedures and programs relating to training, recruitment, and retention.
  • Research, analyze and make recommendations for specific policy-related issues.

General HR/Administrative
  • Create welcome boxes for new full-time Housing staff members.
  • Assist with student employee onboarding.
  • Maintain adequate knowledge of UGA and Housing policies and procedures. Accurately interpret policies, procedures, laws, and regulations drawing on applied experience and training. Provide accurate advice and assistance to university employees, and supervisors.
  • Maintain, and actively enhance, effective communication and working relationships with university employees, supervisors and management.
  • Seek out and attend HR trainings within the University and outside of UGA to broaden knowledge and experience related to HR. Seek out opportunities to apply obtained knowledge and information.
  • Perform miscellaneous job-related duties as assigned.
