Position Summary

The EH&S Information Systems Specialist position supports the expanding service, technical and web-based needs of UGA's Environmental Safety Division Information Systems Support office. This is a position aimed to address the challenges associated with keeping multiple platforms of content and service delivery current and properly staffed. This position will ensure proper coverage and the ongoing reliability of several service oriented tools and training delivery methods. This position will work as part of a team responsible for all aspects of information technology, customer service, and website development needs within ESD. The individual selected will review departmental requirements and collaborate with a team to make recommendations from which website functionality and training materials will be created and written. Comprehensive website analysis, testing, and support of new deployments. The incumbent is also charged with taking an active role in the development of ESD's online presence. She/he will work with a team to maintain various social media platforms and help create and publish content that is relevant to our client base. She/he will also assist with maintaining an archive of digital images, videos, training modules and other content. Incumbent must be a highly effective communicator (both written and verbal, specifically with public speaking) and a proven team player.

The Information Systems Support unit provides on-site service to campus chemical laboratories on a regular basis. This includes spending time working in labs with potential exposure to dangerous hazardous chemicals and undesirable odors. This work requires the proper use of personal protective equipment (PPE) to ensure the safety of the employee and as a means of modeling a culture of safety for laboratory staff and also ensuring that ISS student workers recognize the utmost importance of safety while working in potentially hazardous environments or situations.

Standard 8AM to 5PM work schedule. Some after-hours availability may be needed. This is to ensure that client needs are met and urgent situations are addressed which may occur after typical work hours or on weekends and holidays.

Duties/Responsibilities

Development and testing of web site and system functionality: The incumbent will collaborate with a team to develop clear plans and specifications from which Chematix website functionality can be written. Chematix is the university's online chemical and hazardous waste tracking tool and inspection repository. The Chematix system maintains details on approximately 170,000 individual chemical containers, 9000 fire extinguishers, 2500 emergency showers and eye wash stations, and 1000 fume hoods. The system also houses nearly 15,000 laboratory inspections. Development and testing of web site functionality includes the following tasks and duties.

Recognize new problems with Chematix website deployments and routinely determine accurate working solutions. Compile and organize written documentation related to divisional needs and the Chematix system. Attend and actively participate in weekly web development meetings; formulate stimulating inquires and follow-up summaries. Deliver on-site, live, classroom training sessions to faculty and staff who are required to use the Chematix system. Provide online client support including live chat responses during business hours. Conduct internal unit consultations and lead website project development by analyzing requirements, determining technical approaches and design, providing deliverable dates for implementation, evaluating applications and enhancements, and determining allocation of duties among external vendors as needed.

This element of the position also includes shared responsibility of the development, monitoring and maintenance of the divisional website. Incumbent will work with a graphic designer and other members of a project team to develop the concept, interface design, and architecture of the website. She/he will be responsible for implementation and maintenance of web pages and web components of marketing campaigns. Should understand branding and visual identity concepts, and the ability to apply those concepts to design for web campaigns. Will research, evaluate, and implement new and dynamic web features, technology and multimedia content and identify ways to maximize use of existing technologies. The incumbent will collaborate with the ISS team to ensure that traditional marketing materials, videos, and other marketing/PR items are added to the website in a timely manner to optimize the overall marketing efforts of the division. Analyze and monitor websites to identify problems or difficulties for end users.

Unilateral responsibility of the annual laboratory chemical reconciliation project. This comprehensive and complex project involves working with an external contractor to coordinate the verification and accuracy of the approximately 170,000 chemical containers that make up the complete inventory listing for 1800 chemical laboratories on the UGA main campus. Manage scheduling, contractor progress, extensive reporting, and weekly safety meetings as a part of this massive undertaking which typically takes between six and eight months annually to complete.

Duties/Responsibilities

Provide support for existing processes, modules and hardware: Works with a team to respond to inquiries and email/live chat requests for assistance from clients located across the UGA main campus as well as outlying sites. This includes direct assistance to laboratory staff that need help understanding system functionality. The incumbent will work with the Information Systems Support team to assess divisional technology needs and recommend products and other solutions to meet those needs. Will also share responsibility with our team when working with laboratory staff to identify and resolve problems with currently deployed web modules. Will partner with external vendors to resolve issues as needed and ensure integrity of data entered into systems and update information as requested by internal staff.
• Exclusive responsibility of high level and technical administrative communications with the Office of Research Information Technology group who administers the servers that house both the Chematix production and testing/staging applications. (Chematix is UGA's chemical inventory management and hazardous waste tracking application). Initiate and facilitate all technical communications with server administrators when system problems arise and partners with the ORIT group to ensure successful resolution. Partner with both ORIT and the Chematix developer (Sivco, Inc.) to intercept and analyze files that are provided by UGA's Identity Management group and FMD's Facility Inventory Section to identify errors and confirm records are uniformly uploaded, received and processed properly by the Chematix system.

Duties/Responsibilities

Social and Digital Media: Candidate will provide updates to social media and related accounts with pertinent information, news and announcements in a timely manner using appropriate content. Will also perform research to find articles, stories, resources, or other content that is relevant to our client base and post it to social media platforms in a manner that invites conversation and interaction. Candidate will be expected to respond quickly and courteously to posts or comments to bring value to client interactions with ESD and regularly observe the online activity of peer and aspirational institutions to gather research and provide reports on social media best practices. Will also include review of data on the performance of social media platforms and adjust plans and strategies to optimize client reach. Develop and execute, in cooperation with ISS team members, the strategic plans that drive and guide ESD's external and internal digital identity.

Extended campus engagement, classroom training, and Chematix chemical inventory deployment. Prepare training materials, travel every other month (when possible) to satellite campuses and offer onsite assistance to new and existing Chematix system users.

Emerging technologies and hardware: Candidate will work with the ISS team to configure new hardware and assist with the deployment of new technology, troubleshoot problems with existing hardware, upgrade systems as required, research emerging technologies and recommend possible upgrades to current systems.
