Administrative Support Specialist

Anticipated Starting Salary Range: $43,600 - $50,000

Starting Salary Commensurate with Qualifications and Experience

The State Corporation Commission's (SCC) Office of Commission Comptroller (OCC) seeks a detail-oriented Administrative Support Specialist interested in a rewarding public service career. This position will provide administrative support within OCC, including assisting their Fiscal Operations team and their Facilities team.

Essential responsibilities of the Administrative Support Specialist position will include:
  • Supporting the Facilities Manager with the badging system for the entire SCC, to include creating and issuing ID badges for employees, contractors and other building occupants.
  • Managing and issuing parking permits for the SCC's contracted parking garages.
  • Supporting and updating visitor and security policies and procedures, post orders, and the standard operating procedures manual.
  • Maintaining and reviewing building visitor logs.
  • Assisting with the Air & Travel Card programs for SCC divisions.
  • Checking and distributing OCC Mail, including pick-ups/deliveries.
  • Assisting with processing requisitions, invoices, and deposits.
  • Answering inquiries or supplying information concerning division functions and procedures both verbally and in writing.
  • Conducting research and organizing data required by senior staff for special reports and/or initiatives.
  • Maintaining OCC inventories, to include hardware, software, furniture, office supplies, etc.
  • Performing other related work or project support as assigned.

This position's work schedule is in the office Monday through Friday. The SCC offers on-the-job training, as well as opportunities to attend job-related training.
Qualifications

  • Experience providing administrative support to office staff including experience with clerical practices, policies, and procedures.
  • Considerable knowledge of administrative operations and programs.
  • Knowledge of travel and procurement policies and procedures.
  • Knowledge of bookkeeping practices and procedures.
  • Knowledge of program administration processes and methodologies.
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • A bility to anticipate needs and proactively assist in solving problems and handling issues.
  • Ability to multitask and prioritize tasks.
  • A bility to maintain complex records, organize data, and prepare reports.
  • Proficiency in the use of PCs, Microsoft Office Products, and databases.
  • Ability to design and produce effective informational materials.
  • Ability to establish new processes and procedures.
  • Availability to work in the downtown Richmond office Monday-Friday.
