Summary:

We are seeking a highly skilled and experienced Lead EDMS (Electronic Document Management System) Specialist to join our team. The successful candidate will be responsible for overseeing the implementation, maintenance, and optimization of our EDMS. This critical role ensures that all documents are managed efficiently and securely, supporting the overall success of our projects and operations.

Key Responsibilities:
  • EDMS Implementation and Management: Lead the implementation of the EDMS, ensuring it meets the organization's needs and industry standards. Oversee the configuration and customization of the EDMS to optimize its functionality and usability.
  • Document Control: Develop and enforce document management policies and procedures. Ensure all project documents are accurately stored, categorized, and easily retrievable. Monitor document workflows to ensure compliance with regulatory requirements and internal standards.
  • User Support and Training: Provide training and support to users on the EDMS, ensuring they are proficient in its use.
  • Address user issues and provide solutions to ensure smooth operation of the EDMS.
  • System Maintenance and Optimization: Regularly monitor the performance of the EDMS and implement updates or improvements as necessary. Conduct routine system audits to ensure data integrity and security.
  • Collaboration and Coordination: Work closely with IT, project management, and other departments to integrate the EDMS with other systems and processes. Coordinate with external vendors and service providers for system support and upgrades.
  • Reporting and Documentation: Generate reports on document management activities, system performance, and compliance metrics. Maintain comprehensive documentation of EDMS configurations, procedures, and user manuals.


Qualifications:
  • Bachelor's degree in Information Technology, Business Administration, or a related field.
  • Extensive experience in electronic document management systems, including implementation and maintenance.
  • Strong understanding of document control processes and regulatory requirements.
  • Proficient in EDMS software and tools, with the ability to quickly learn new systems.
  • Excellent analytical and problem-solving skills.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with diverse teams.
  • Proven ability to manage multiple tasks and projects simultaneously.
