The Hillsboro Public Library is seeking two dedicated Library Administrative Support Specialists to join our team. These full-time roles, working 40 hours per week with one weekend support day, are crucial in maintaining the smooth operation of our Library services.

Our mission, For Everyone/Para Todos, is at the heart of everything we do. We provide free and open services to all who visit the Library, whether in our buildings, online, or through Outreach. The Admin Support team provides front-facing/direct customer service and also plays a vital role behind the scenes, ensuring that our services run seamlessly.

The Role
As a Library Administrative Support Specialist, you'll be at the center of our daily operations, ensuring that everything runs smoothly. Your responsibilities will include:

  • Providing welcoming and inclusive customer service to Library patrons (25% of your time on the public service floor).
  • Scheduling employee shifts, tasks, and meetings.
  • Supporting Library programming by managing program agreements and related administrative tasks.
  • Ordering supplies and managing financial transactions, including bookkeeping and financial reporting.
  • Submitting and tracking maintenance and technology requests.
  • Assisting with employee preboarding and offboarding.
  • Collaborating closely with Library Leadership and liaising with other City departments, vendors, and performers.

The Ideal Candidate
We're looking for someone who is:

  • Detail-oriented and organized, with strong time management skills.
  • Tech-savvy, with the ability to assist with basic technology needs, including AV equipment.
  • Patient and responsive, with the ability to handle confidential information.
  • Skilled in communication, both written and verbal, with an inclusive mindset.
  • Experienced in customer service, administrative tasks, or front office roles.
  • Proficient in Microsoft Office, especially Excel.
  • Able to build strong, collaborative relationships and adapt communication styles based on the audience.

Acceptable Experience and Training
  • High School Diploma or GED.
  • Three years of office, administrative, or customer service experience, or an equivalent combination of education and experience.

Licensing & Certifications:
  • Valid Driver's License and a safe driving record.
  • Spanish communication skills (written and verbal) preferred but not required.

Additional Information

Bilingual incentive pay available.

Preference will be given to candidates who are bilingual in Spanish/English and bilingualism is our ideal as opportunities for community engagement abound.

Employees who can demonstrate the ability to speak Spanish, or any language spoken by over ten percent (10%) of City residents as documented by the most recent U.S. Census, at a proficiency level determined by a fluency test administered by the City, will receive a monthly premium of three percent (3%) of their regular base pay.
