The Law Department is comprised of two sections, the City Attorney's Office, which handles representing the City in civil matters, and the City Prosecutor's Office, which handles the prosecution of misdemeanor crimes committed in Phoenix. The City Attorney's Office is seeking an experience Legal Secretary to join the litigation team.

The Legal Secretary in this role provides highly skilled and detail-oriented legal secretarial and administrative support to attorneys. Work is performed independently with minimal supervision.

Duties include:
  • Performing a wide variety of complex, confidential, administrative, and secretarial tasks.
  • Scheduling meetings.
  • Calendaring court appearances and deadlines.
  • Docketing/calendaring using case management software.
  • E-filing documents with various courts (state and federal).
  • Drafting various legal documents.
  • Reviewing documents for completeness, proper formatting, and typographical errors.
  • Finalizing pleadings for court filings, special actions, and petitions in municipal, state, and federal courts.
  • Conducting electronic research via the internet.
  • Preparing and mailing subpoenas.
  • Processing and monitoring civil legal proceedings/cases.

SALARY

Pay Range: $20.51 to $35.08 per hour.

Hiring Range: $20.51 to $30.31 per hour.

MINIMUM QUALIFICATIONS

  • Two years of clerical experience in a legal setting, including training in typing and stenography.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:
  • An associate of arts and sciences degree in a legal assistant program or related field.
  • Five years of litigation experience working in a law firm - public or private.
  • Legal secretary experience working with minimal supervision.
  • Front desk customer service experience.
  • Docketing experience using a program and manually docketing dates, along with maintaining electronic and hard copy files.
  • Experience:
    • Processing court filings, special actions, and petitions using e-filing systems in municipal, state, and federal courts.
    • Drafting and formatting legal documents, pleadings and correspondence, producing documents using proper sentence structure, punctuation, grammar, and spelling.
    • Filing documents and briefs in Superior, District, respective appellate courts, Office of Administrative Hearings, and other venues.
    • Using Adobe, a case management program such as Prolaw, and document management program such as iManage.
    • Providing administrative assistance for multiple executives or middle managers.
    • Maintaining confidential client, case, or other records or files.
  • Experience with:
    • Rules of Court, Evidence, and Discovery, Federal Privacy Act, Freedom of Information Act, and City ordinances.
    • Legal terminology, principles, precedents, procedures, and research methods.
