The Office Support Specialist is responsible for the timely and efficient completion of select ambulatory back office workflows and responsibilities. While functioning as an active member of the team, they will serve as a liaison between the CPN practice and patients. Primary responsibilities will differ based on what sub-team the staff is assigned to. Staff may have secondary team assignments based on coverage needs, training and seasonal volume demands.

  • Diploma from a Medical Assistant program OR a high school diploma + 1 year of Medical Assistant experience in physician practice.
  • Medical Assistant certification required
Position will be primarily making calls to do Pre-Visit Planning for Annual Wellness Visits for Primary Care locations. Once fully independent may also cross train to be able to work with the FMLA or Afterhours Inbasket Support Teams.
  • Afterhours Inbasket Team - Complete and/or prepare patient refill requests using network refill policies and protocols. Prioritize and complete patient call messages. Completes medication prior authorization requests electronically Prioritize mychart advice messages Communicate normal results with patients during specified call hours. Inbasket items as assigned
  • Pre-Visit Planning Team - Complete a chart review on selected patients, gathering all necessary information prior to contacting the patient. Verify patient information by interviewing patient, recording medical history, and confirming purpose of visit. Obtain lab, testing, and procedure results from outside sources and appropriately documents external results. Monitor and follow up on voicemail accounts of team members when assigned.
  • FMLA Team Preparation for form completion. Complete a chart review on selected patients, gathering all necessary information prior to contacting the patient. Obtain lab, testing, and procedure results from outside sources and appropriately documents external results. Effective communication with patient, if necessary, for completion of required form(s). Maintain compliance with Department of Labor forms as applicable. Properly navigate through the work ques Page 2 of 3 to complete encounters. Monitor and follow up on voicemail accounts of team members when assigned
