Medical Office Coordinator for the General Surgery Department - Full Time - Day Shift - Monday-Friday

Duties and Responsibilities
  • Greets all persons coming into the Physician Office and directs them to the appropriate person or area.
  • Answers phone, records messages and forwards to appropriate person.
  • Serves as a resource for staff inquires.
  • Greets patients as they enter the waiting area.
  • Registers patients according to office/hospital protocols.
  • Collects any co-payments or deductibles owed by the patient.
  • Obtains appropriate information from patients as needed.
  • Determines the financial status of patients and their eligibility for health services.
  • Assists patients in accurately completing appropriate forms and documents for required information.
  • Schedules future appointments when necessary.
  • Keeps patient appointments on schedule by notifying providers of patient's arrival.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Maintains patient accounts by obtaining, recording and updating personal and financial information.
  • Types correspondence and reports.
  • Copies and distributes correspondence and reports.
  • Sorts and distributes incoming mail.
  • Faxes and/or mails medical reports.
  • Copies materials as requested and/or needed maintaining adequate copies of standard forms used in the office.
  • Extends courtesy and demonstrates cooperation while communicating with others.
  • Utilizes effective communication skills with patients, families, co-workers, other medical professionals and anyone communicated with in a pleasant, positive manner.
  • Accepts suggestions and criticisms and whenever necessary, undertakes to change personal behavior or seek further guidance.
  • Treats staff, physicians, visitors and patients with dignity and respect.
  • Utilizes universal precautions in all aspects of work practice.
  • Remains in compliance with hospital hand hygiene policy.
  • Reports staff deficits related to compliance with infection control practice (non-compliance with hand washing, etc.).
  • Teaches patients, families and visitors regarding infection prevention and transmission.
  • Cleans equipment appropriately between patient and/or staff use.
  • Assures that all office equipment is working efficiently.
  • Calls for repairs when necessary.
  • Assures the proper handling of all office equipment.
  • Assures that lobby and office areas are cleaned and kept orderly.

  • Participate in performance improvement and continuous quality improvement activities.
  • Attend regular staff meetings and in-services as needed.

Physical Requirements and Environmental Conditions
  • May need to sit for up to 2-6 hours at a time
  • Must be able to lift 10+lbs.
  • Physically demanding, high-stress environment
