SUMMARY:

We are currently seeking a Medical Office Coordinator to join our Pediatrics-Gen-Pro Services team. This 0.80 FTE (64 hours per pay period) role will primarily work hybrid, one day remote and three days on-site, with flexibility to cover colleague vacation, etc. (SHIFT: Day 8:00 AM-5:00 PM M-F).

Purpose of this position: Provide high level, quality administrative support in a very busy pediatric practice in a county hospital, and work as a team member with providers and department administrative colleagues

RESPONSIBILITIES:
  • Provide/perform departmental administrative duties to support the department chair, medical/program/division directors, and providers
  • Provide administrative support to department practice manager
  • Act as subject matter expert and department resource in daily office operations, requiring knowledge of the department, with autonomy
  • Provide support and oversee payroll time reporting for all department providers
  • Manage medical on-boarding and off-boarding, credentialing and privileging of providers, working with Office of the Medical Staff, regulatory agencies and other departments to ensure compliance with licensure, annual required training and certifications
  • Assist providers with academic appointment and promotions, as appropriate under the University of Minnesota School of Medicine umbrella
  • Manage the department's use of space, equipment and supplies
  • Assist in the coordination of provider recruitment, including interview schedules, meals, travel, lodging, and other specific individual needs
  • Work with marketing team to ensure website is maintained and up to date
  • Create and maintains clinic, procedural, on-call, and attending schedules in provider scheduling system (AMION), including updating for PTO and other scheduled and unscheduled absences
  • Coordinate and oversee department education activities, whether virtual or in-person, including responsibility for schedule, location, meal and coordinating travel/lodging, etc for speakers traveling from out of town
  • May assist with orientation and training of new administrative colleagues
  • Performs other duties as assigned


QUALIFICATIONS:

Minimum Qualifications:
  • High school graduate
  • Five (5) years of progressive office experience

  • An approved equivalent combination of education and experience
Preferred Qualifications:
  • Previous work experience in a medical setting
  • Associate or Bachelor's Degree in business, management, general studies, or healthcare discipline
Knowledge/ Skills/ Abilities:
  • Work independently with minimum guidance or supervision
  • Strong, professional communication skills, both written and verbal
  • Knowledge of PC systems and various software or possess aptitude for learning
  • Advanced technological skills, specifically MS Office Suite and proficiency with Excel
  • Exceptional organizational and time management skills
  • Ability to prioritize workload
  • Detail oriented
  • Problem solving skills
