JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Medical Student Associate serves as the administrative assistant to the Medical Student Campus Coordinator. This position assists with all aspects of undergraduate medical students in the third-year clerkships and fourth-year senior electives in the orientation, on-boarding, day-to-day operations, and evaluation processes.

DUTIES AND RESPONSIBILITIES:

  1. Assists coordinator with orientation and onboarding students; maintains onboarding documentation.
  2. Manages and maintains UME Dean's calendar.
  3. Ensures collection of student case logs.
  4. Collaborates with the Course Directors to prepare for a four-week Capstone Course.
  5. Schedules faculty lectures and simulation training.
  6. Arranges videoconferencing and other audiovisual equipment.
  7. Collects and summarizes student evaluations.
  8. Assists students with orientation and training schedules, housing needs, meal tickets, ID badges, security access, etc.
  9. Plans events and organizes functions including student luncheons with the Dean, Match Day, etc.
  10. Assists the Executive Assistant to the Dean with administrative tasks as needed.
  11. Performs other duties as assigned.


Qualifications:

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative experience; OR Associate's Degree and two (2) years of administrative experience; OR Bachelor's Degree in lieu of experience. Must secure Notary Public status within the first six (6) months of employment.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent computer knowledge and skills, including software (e.g., spreadsheets, databases, presentations, and interactive forms).
  • Demonstrated skills in working as a part of a team.
  • Ability to multi-task while remaining focused on providing service to both students and our administrative leaders.
  • Ability to provide direction to coordinators, administrative staff, and those serving as Exam Proctors to successfully administer medical student education activities for the Chattanooga Campus.


WORK SCHEDULE: This position may occasionally work evenings and weekends, may occasionally travel.
