Municipal Clerk or Town Clerk / Administrative Support

The role of a city/town clerk, also referred to as a municipal clerk, is varied and important at the local government level. City/town clerks maintain public records, attend, and take the minutes of city/town council meetings, and assist in the development of departmental policies. City/town clerks ensure the distribution of legal notices. They also should have strong managerial and organizational skills and communicate clearly both verbally and in writing.

Type: Contract to hire

Hours: Monday - Thursday 9a-5p and Friday 9a-12p

Pay: Up to $18 DOE

Duties and Responsibilities of the Municipal Clerk or Town Clerk:
  • Attend city/town council meetings, record minutes for meetings, create and distribute meeting agendas in a timely manner.
    • Must attend the town council meeting on the 3rd Monday of every month from 6:00 PM to 9:00 PM. Can work half-day on that day if needed.
  • Maintain public records from updating public information to handling open records requests (FOIA). Maintain town cemetery records.
  • Perform budgeting duties, such as assisting in budget preparation.
  • Process business licenses, collect deposits, payments, and fees.
  • Assist with town's festivals and holiday celebrations-for example, Christmas Parade.
  • Serve as a liaison to the town's community committees.
  • Respond to requests from the public and other municipalities.
  • Process claims against the municipality, maintain files and log of claims.
  • Collect and distribute the mail.
  • Run errands as needed.
  • Maintain/tracking of timecards for hourly employees.
  • Answer phones.
  • Maintain records on town's rental properties.
  • Overtime may be required if needed.


Qualifications/Skills of the Municipal Clerk or Town Clerk:
  • Excellent computer skills.
  • Strong typing skills and knowledge of working with copiers, fax machines, scanners, and other office equipment.
  • Excellent communication skills.
  • Strong organizational skills-must maintain accurate records and access requested information in a timely manner.
  • Ability to work independently-must be able to make decisions and address situations with little or no supervision when required.
  • Excellent filing skills.
