Summary

This position is assigned to Morale, Welfare, and Recreation; Fleet and Family Readiness; Commander, Navy Region Southwest; Naval Base Coronado N9 Admin. The purpose of this position is to develop, evaluate, advise or improve information and documentation; directive management and management controls; and/or obtain a variety of management support services essential to the Morale, Welfare and Recreation (MWR) N9 operations to be integrated with the general management of the MWR.

Duties

  • Develops, evaluates, researches, advises, improves and/or obtains a variety of management support services essential to the effective and efficient accomplishment of MWR goals and objectives.
  • Provides administrative services and support to management and staff by performing analysis, research, and statistical duties.
  • Prepares reports and other statistical and financial data pertaining to recreation and club operations.
  • Compiles and types statistical records and reports.
  • Coordinates all administrative output from department.
  • Explains reporting procedures and requirement to managers, supervisors and employees.
  • Coordinates all department internal audits (payroll, property, etc.) and conducts/evaluates semi-annual facility inspections.
  • Coordinates and serves as the primary assistant in the preparation and submittal of annual department wide appropriated fund (APF) and non-appropriated fund (NAF) budgets, and blanket purchase agreements, as needed.
  • Plans the development of an organizational records management program which includes the methods and processes by which record material is created, how filing systems are maintained, and the organization's requirement for retention or disposal of records.
  • Prepares correspondence, reports and instructions, re-writing correspondence as required.
  • Oversees the maintenance of files on departmental regulations, directives, etc., and posts changes as required.
  • Provides information pertaining to operational activities to Navy Region Southwest (NRSW) MWR and IT Director and staff.
  • Coordinates travel plans and schedules travel for the NRSW MWR & IT Director and staff.
  • Responsibility for the preparation or approval of data for input into a system which does not necessarily involve personal access to the system, but with relatively high risk for effecting grave damage or realizing significant personal gain.

Conditions of Employment

  • Must meet Federal Employment suitability requirements and successful completion of background investigation. Background Investigations are conducted using fingerprint identification and completion of background inquiry forms.
  • Must successfully pass the E-Verify employment verification check. Any discrepancies must be resolved as a condition of employment.
  • Incumbent will be required to obtain and maintain a National Agency Check background screening with Inquiries (NACI) or higher security clearance, if needed.
  • Work is primarily sedentary in nature.


Qualifications
• Knowledge of the organizational structure and mission(s) of organizations serviced to perform the full range of administrative services.
• Knowledge of budgeting, financial management and planning.
• Knowledge of the use of computers and a variety of software programs to include but not limited to Microsoft Office (Word, Excel, Power Point, Outlook), Adobe Reader, etc.
• Ability to analyze and prepare clear, concise, and technically sound reports related to work within the Branch.
• Ability to demonstrate strong organizational and administrative skills.
• Knowledge of office filing arrangement and the purpose and content of documents in the file.
• Ability to file and retrieve information and maintain records and files in accordance with established office filing procedures.
• Ability to make favorable personal contacts with all levels of staff and management personnel.
• Ability to communicate effectively both orally and in writing.
