JOB SUMMARY

The Night and Weekend Supervisor at the Library West branch provides broad public service assistance to members of the University community. This role involves training full and part-time staff who work nights and weekends, monitoring night and weekend service desk schedules, handling and referring requests related to user accounts, billing, access to the Libraries, and keeping track of building safety and facility issues. Activities vary and include supervision, problem-solving, and advising on policies and procedures.

The regular schedule for this position is Wednesday through Sunday. Specific hours are:
  • Wednesday, Thursday, Friday, Sunday: 1:30-10:30pm
  • Saturday: 11:30am-8:30pm
During intersessions, holidays, and when there are other changes in the George A. Smathers Libraries' public building hours, the working hours for this position will be adjusted in consultation with the employee.

RESPONSIBILITIES

Library West Weekend and Evening Operations Management
  • Oversees evening and weekend operations and team members who support Library West services for UF faculty, students, staff, and other community members. This includes directly supervising one full-time and one part-time security assistant, along with other part-time OPS staff hired for special assignments. Assists in onboarding, training, daily work tasks and projects, and performance appraisals. Supports in supervising student employees on evenings and weekends.
  • Assumes and encourages full responsibility and supervision for scheduling changes and for decision-making during their assigned shift, for all User Services staff and student assistants. Provides for follow-up with branch leadership for issues that arise during nights and weekends.
  • Coordinates the use of software applications for daily task and project management. Provides unit and circulation statistics and reports as requested.
  • Regularly reports to the User Services Manager the status of night and weekend operations, tracking operational issues and problems (patron issues, security concerns, computer downtime, etc.) to resolution. Administers reporting of IT and Facilities Department problems via the Libraries' trouble ticketing system; submits public computing and printing problems through the UFIT help desk ticketing system; initiates security and emergency reports via the Libraries online Incident Report form.
  • Maintains in-depth knowledge of support staff responsibilities to perform branch tasks in the staff member's absence.
Library West User Services
  • Oversees user services at all service points during assigned hours, adjusting the schedule as needed to cover staff absences and ensure building and service hours are covered.
  • Performs all circulation job duties, including but not limited to loaning/returning library materials (including circulating technology equipment), assisting with reservations of study and testing spaces, receiving and screening user problem reports, and answering and triaging reference and directional questions.
  • Keeps expert working knowledge of competencies required of staff working in access services across the Libraries, and with libraries' circulation manual.
  • Assists users in locating library materials via the online catalog and instructs them in the use of electronic resources, course reserves system, interlibrary loan, and basic reference materials and research methods. Makes appropriate referrals for research assistance, instruction, and materials requests to subject specialists and other branch libraries and departments.
  • Creates and updates library user records as needed; verifies the eligibility of users through student administration portals and the UF directory; grants computer access to non-UF visitors. Screens and submits access applications for the graduate study floor; interprets circulation and account records and library policies in response to queries and problems; monitors user accounts and fines & fees; refers billing issues to the User Services Manager.
  • Responds to complex problems and unusual circumstances that may arise when dealing with the integrated library system. including initiation of off-line emergency circulation procedures when the library management system is down.
  • Provides troubleshooting for difficult hardware and software issues and printing/scanning problems as needed; reports all unresolved technology problems to UFIT via the UFIT Help Desk ticket system.
Building, Collections Monitoring, and Safety
  • Coordinates and monitors the building and facilities during evening and weekend shifts. Keeps regular contact with building monitors and staff, reporting issues to User Services Manager and branch Coordinators. Regularly tracks the UF Alert System. Closes and secures the building during intersession or holiday hours.
  • Serves as Building Emergency Coordinator for evening and weekend hours.
  • Makes regular rounds through the building to check doors and equipment and to enforce food and beverage policies. Identifies and reports maintenance problems (broken furniture, leaks, lights, etc.) to the Libraries Facilities department via the online ticketing system. Communicates problems and emergencies to University Police, Libraries Facilities, UF Facilities Services, and branch leadership as appropriate.
  • Ensures that facilities are in good order by directing the straightening of furniture and equipment, sorting of materials, picking up of various material used in the building (near printers, study rooms, etc.) and returning those items to appropriate locations.
  • Creates and updates signage, forms, and templates used by the branch. Handles printing requests and maintains stocking of service desk supplies.
Other duties and library activities
  • Assists with development, planning, and staffing of ongoing and special projects or activities as assigned by the User Services Manager or the Department Chairs, such as for special programs, events, and outreach.
  • Attends Branch all-staff meetings, and other meetings as requested by the User Services Manager; contributes to the documentation and formulation of Library West policies and procedures.
  • Holds regular shifts for the Ask-A-Librarian chat reference service, in addition to in-person research services and other non-traditional research services.
  • Participates in University, Libraries and Library West committees and task forces as appropriate.
  • Participates in training to enhance skills for both personal and professional development.
Expected Salary:

$51,884 minimum salary; The Smathers Libraries offer a salary commensurate with experience and credentials.

Minimum Requirements:

High School diploma or equivalent and seven years of library, or relevant experience; or an Associate's degree and five years of relevant experience; or a Bachelor's degree and three years of relevant experience; or a Master's degree and one year of relevant experience; or any equivalent combination of experience, training and/or education.

  • Experience with project management applications, and strong computer skills.
  • Knowledge of library regulations, policies, and procedures, and of basic reference resources and the research process.
