The Nursing Operations Specialist, in collaboration with the clinical placement coordinator, is responsible for planning, organizing, and facilitating the administrative tasks related to student placements in clinical sites for the Department of Nursing (DON). The role involves providing instructions, collecting, and reviewing nursing student compliance requirements. Additionally, the specialist collects, compiles, and assists in data retrieval and reporting related to clinical placements. Acting as the primary point of contact for students, clinical agencies, clinical coordinators, and other DON team members, the specialist ensures timely and clear communication among all parties (e.g., clinical placement coordinator, department chair, students, and clinical agencies). Works collaboratively to resolve complex clinical placement issues, changes, and requests of both clinical agencies and the DON. This position may include additional duties as assigned and required to meet nursing education programming needs.

Responsibilities and Duties

Supports and collaborates with the clinical placement coordinator, department chair, program and clinical coordinators in developing, implementing and communicating the clinical placement processes; compile, maintain, and update records including but not limited to, student placements and mandatory clinical requirements. Manages student onboarding information and mandatory clinical requirements; reviews and gathers required clinical placement documentation; creates and distributes rosters to the relevant parties; notifies students of schedule, clinical assignments, and mandatory clinical requirements; ensures students' completion of mandatory clinical requirements. Collaborates with clinical coordinators, program coordinators department chair, and department assistant chair to develop clinical course calendars; utilizing various software platforms (e.g. Peoplesoft, MS Office, etc.) to manage and report data. Represents the DON at the meetings/conferences that pertain to clinical education. Provides orientation to students on clinical education to include placement processes, clinical requirements (mandatories), and other administrative placement related components. Continuously monitors and communicates with students, clinical sites, and clinical coordinators regarding student schedules, clinical assignments, and mandatory clinical requirements. Collects fieldwork data and statistics for annual DON reports purposes; analyzes and provides consultation on clinical placement processes and policies and proposes modifications as necessary. Ensures timely and accurate responses to inquiries from students, clinical sites, and clinical coordinators. Perform other duties as assigned.

Telework may be available for this position up to two days per week following the completion of 90 days of service in good standing.

Qualifications and Skills

Required:

  • Bachelor's degree
  • Two years of experience performing administrative duties and maintaining confidences related to high-level systems and operations.
  • Strong communication skills.
  • Ability to work both collaboratively and independently, and effectively prioritize key tasks, shifting to higher priority if needed.
  • Strong customer service skills.
  • Working knowledge of variety of software platforms and standard office equipment.
  • Strong organizational and time management skills to meet required deadlines.
  • Willingness to be creative, develop efficient practices and systems, and learn new skills.
  • Ability to multi-task and attend to key details.
  • Maintain confidentiality.


Preferred:

  • Previous experience in higher education.
  • Experience working in nursing education and/or clinical placements.


Salary and Benefits

Targeted Hiring Range is $63,000 - $68,000 and full University benefits that include 22 days of annual leave, up to 15 holidays, personal and sick days; excellent health, life, and retirement plans; and tuition remission.
