Job Description:

Bayside Behavioral Health is seeking a dedicated and experienced Office Manager to oversee administrative operations and support the efficient functioning of our outpatient SUD treatment program. The Office Manager plays a pivotal role, taking on duties which involve both receptionist responsibilities and office management tasks. The ideal candidate will have prior experience in office management, preferably in a healthcare setting, and possess strong organizational, communication, and interpersonal skills.

Responsibilities:

- Oversee day-to-day administrative operations, including scheduling, billing, medical records management, and reception services.

- Coordinate and manage patient intake and registration processes, ensuring accurate and timely collection of demographic and insurance information.

- Verify insurance coverage and benefits for clients, including commercial insurance plans, and facilitate billing and claims processing in compliance with insurance regulations and billing guidelines.

- Serve as the primary point of contact for clients, families, and external stakeholders, addressing inquiries, scheduling appointments, and providing assistance as needed.

- Supervise administrative staff, including receptionists, medical records clerks, and billing specialists, providing guidance, training, and support to ensure efficient workflow and quality service delivery.

- Collaborate with clinical and medical staff to facilitate communication and coordination of care, ensuring seamless integration of administrative and clinical functions.

- Maintain accurate and up-to-date electronic health records (EHR) and other administrative databases, ensuring confidentiality and compliance with HIPAA regulations.

- Prepare and maintain financial reports, budgets, and administrative records, monitoring expenses and revenue, and identifying opportunities for cost savings and revenue enhancement.

- Implement and enforce office policies, procedures, and protocols to promote efficiency, compliance, and quality assurance.

- Participate in staff meetings, trainings, and performance evaluations, contributing to the development and implementation of program initiatives and quality improvement efforts.

Physical Demands: The employee is occasionally required to stand and be on their feet for long portions of time. The employee must occasionally lift and/or move objects up to 25 pounds.

Qualifications:

- Bachelor's degree in healthcare administration, business administration, or related field preferred.

- Minimum of 3 years of experience in office management or administrative leadership role, preferably in a healthcare or mental health setting.

- Knowledge of Substance Use Disorder (SUD) and mental health treatment services, including familiarity with treatment modalities, terminology, and regulatory requirements.

- Proficiency in medical billing and insurance claims processing, with experience working with commercial insurance plans and knowledge of insurance verification and authorization processes.

- Strong interpersonal and communication skills, with the ability to interact effectively with clients, staff, and external stakeholders.

- Excellent organizational and multitasking abilities, with the capacity to prioritize tasks, meet deadlines, and manage competing priorities in a fast-paced environment.

- Proficiency in computer applications and software programs, including electronic health record (EHR) systems, Microsoft Office suite, and billing software.

- Ability to maintain confidentiality, integrity, and professionalism in handling sensitive and confidential information.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. The noise level in the work environment is usually moderate.
