Position Overview

The Office Manager will ensure administrative support for the office that results in exceptional service to internal and external clients, consistent with Firm standards and objectives. This role will liaise regularly with numerous administrative functions resident in the office, such as Facilities, Hospitality/Conference Services, Technology and Talent.

Primary Duties and Responsibilities
  • In collaboration with the Senior Manager of East Coast Operations and others, ensure that administrative services are being provided in a manner that skillfully addresses the needs of our lawyers and business professionals, and contributes to a very positive impression among all relevant audiences (e.g., clients, prospective talent, visitors from other offices). Examples include:
    • Assist conference center guests with administrative needs and requests.
    • Assist with arranging back-up administrative coverage as needed.
    • Organize/lead or participate in team meetings.
  • Prioritize the ongoing maintenance of our newly renovated offices and liaise as needed with building management and Facilities.
    • Coordination of office assignments and periodic moves.
    • Handle all details related to leased apartment managed by the office.
  • Lead and/or participate in recruitment efforts for administrative positions and subsequent onboarding.
  • Collaborate with HR and applicable managers on employee relations and managing performance concerns.
  • Create and maintain a pleasant work environment, ensuring superior organizational effectiveness and communication and supporting a high-performance culture.
    • Work effectively with lawyers and business professionals, building trust and rapport.
    • Ensure productive engagement between office-specific and central/firmwide department personnel and activities.
    • Coordinate and proactively engage with leadership (such as the Office Managing Partner) in planning and organizing office events and activities.
    • Coordinate office fundraisers and other charitable and community-focused activities.
    • Assist with various HR and office functions, such as wellness, staff appreciation, milestone awards and flu shots.
    • Focus on ensuring ongoing connectivity and engagement with hybrid and remote personnel.
  • Produce and distribute monthly office newsletter.
  • Assist with budgeting and project management.

Secondary Duties and Responsibilities
  • Performs other tasks and duties as assigned.

Working Conditions
  • Job is performed in a typical office environment, subject to the Firm's policy on In-Office Work Arrangements.
  • May be required to work extended hours, which may include evenings or weekends.
Education
  • Bachelor's Degree in Administration or related field.

Experience
  • Three to five years of strong relevant experience with office management and administration, preferably in a law firm or professional services environment.

Technical Skills
  • Proficiency in Microsoft Office Word, PowerPoint, Excel and Outlook required.

Annual Salary Range: $130,000 - $160,000
