Kavaliro's client is seeking an Office Manager for an onsite position in Atlanta, GA. The Office Manager is responsible for assisting the Branch Manager/Regional Director with the day to day operations of the branch/region, which includes, but is not limited to: receiving and entering A/R invoices, processing invoices to customers, onboarding of new field personnel, assisting Project Managers with job cost and other reports, ensure accurate weekly time and per diem submitted to payroll, procuring office supplies as needed, and working with all office/regional personnel to maintain harmonious and efficient operation.

Responsibilities:
  • Efficiently manages all administrative functions within the office.
  • Helps manage costs in accordance with annual and long-range financial plans.
  • Performs/assists with onboarding of new field personnel ensuring all employment documents and the below are completed:
    • Post Offer Medical Questionnaire
    • Pre-Employment Drug Testing
    • I-9 Verification
    • Safety Orientation
  • Accounts Receivable
    • Ensures timely billing.
    • Work with customers/project managers to resolve billing discrepancies.
    • Assists Project Managers with timely collection of payments due.
  • Accounts Payable
    • Review accounts payable/purchase order folders regularly.
    • Direct invoices to appropriate Project Managers for processing.
    • New vendor setup.
    • Assists with collections.
  • Payroll
    • Process all Per Diem and Drive Time requests.
    • Ensure all branch/region employees get paid timely and correctly.
    • Run Certified Payroll reports per job specific requirements.
  • Assists Project Managers
    • Enters Job Start and Budget information for new projects.
    • Ensures proper Purchase Orders are utilized for vendor invoicing.
    • Assist with monthly Work In Progress reports.
  • Maintains office policies and procedures, ensuring compliance with company standards and industry regulations.
  • Oversees office equipment and supplies purchasing.
  • Serves as the primary point of contact for internal and external communications, both written and verbal.

  • Basic accounting understanding and skills.
  • Familiarity with applicable federal, state, and local laws related to the assigned area.
  • Familiarity with the branch/region Collective Bargaining Agreement.
  • Ability to interpret and apply policies, procedures, and guidelines.
  • Provide excellent and courteous customer service, establish, and maintain effective working relationships.
  • Knowledge of software such as Microsoft Excel and Word, and Project Management software.
  • Maintain cooperative relationships with co-workers and others contacted through the course of work; respond in a positive manner to supervision and attend and perform duties on a regular and consistent basis.
