JOB SUMMARY :

Under the direction of the Director of Outpatient Rehabilitation Services, the Office Manager oversees daily operations of the front desk to ensure efficiencies in workflow and the delivery of high-quality customer service. Manager supervises front desk staff and in collaboration with the Director. Floats between both clinic locations, performing those duties assigned to Pre-registration/Scheduling staff as needed. This position requires initiative, independent judgement and supervision of personnel.

ESSENTIAL RESPONSIBILITIES:

Provide supervision, staff development, and leadership for front desk staff. Completes annual performance appraisals for front desk staff in collaboration with the Director.

Manages and evaluates front desk operations to ensure continuity between both clinic locations. Revises procedures and implements strategies to maximize efficiencies in workflow and daily schedule utilization.

Oversees the intake and processing of new referrals to ensure timely scheduling and follow-up with patients and referrals sources.

Provides clinic staff with training on timely documentation and the insurance authorization process to ensure that billing requirements are met.

Assists in Pre-registration/Scheduling duties and responsibilities as needed to ensure adequate staffing of the front desk.

Assists the Director with resolving EMR issues as needed.

Tracks data and provides reports as requested by the Director.

In collaboration with the Director, works with DKH facilities and outside vendors to ensure cleanliness and safety of clinic locations.

Assists the Director with the management and ordering of office supplies in accordance with the department budget.

QUALIFICATIONS :

Education:

High school graduate, or equivalent required. Associates Degree or equivalent work experience equivalent is preferred.

Experience:

Minimum of one (1) year supervisory experience in healthcare-related office setting is preferred. Knowledge of medical terminology is preferred.
