We are looking to hireon an office managers/ receptionist to our officein Austin TX. This will be a co-office manager role where they will share management duties with another person in the same position. You will be helping with day to day tasks such as those listed below. This is an ongoing contract and will require those to be onsite.

Day to day responsibilities:
  • Provide administrative support for designated leadeream.
  • Greets visitors, maintains visitor logs, and issues visitor passes as required.
  • Receives incoming calls, routes calls to appropriate contacts and takes/relays messages.
  • Provides initial point of contactin a professional and efficient manner.
  • Manages high-volume telephone traffic via multi line phone system.
  • Coordinates visitor traffic in accordance with central securities guidelines.
  • Receives messenger Dash courier deliveries and notifies mail room and or appropriate team members.
  • Updates/maintains contacts and additional online lists for Security.
  • Provides back up support for other office team responsibilities, including not limited to intra-office relocations and workspace arrangements, reception desk coverage.
  • Ensures office equipment and supplies are properly ordered, stocked, maintained and replaced as necessary.
  • Make sure kitchens are stocked with supplies.
  • Maintains office equipment and supplies (printers, ink, toner, paper)
  • Receives and logs incoming packages.
  • Orders and maintains inventory of office and coffee supplies.
  • Corresponds with building maintenance and vendors for repairs and other requests.
  • Ensures facilities upkeep and works with facilities team to address/resolve repairs and other requests.
  • Uses Microsoft office product, including Word, Excel, PowerPoint, Outlook, and SharePoint.
  • Familiar with office equipment (copier, fax, shipping and receiving tools)
  • Learns various departmental processes and procedures including but not limited to expense processing, document preparation and retention.
  • Maintains a professional demeanor at all times.
  • Ability to multitask and quickly adapt in a fast-paced environment.
  • Maintains confidential information.
  • Normally receives general instructions on routine work and detailed instructions on new assignments.
  • Works well as a team member, sharing responsibilities for tasks and objectives.
  • Participate in team meetings and contribute ideas as appropriate.
  • Build stable internal and, as required and external working relationships.
  • Works on routine assignments required limited judgment.
  • Follows standard procedures in written direction to accomplish assigned tasks.
  • Refers unexpected or difficult questions to higher levels.
