The role you'll contribute:

Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. Responsible for the smooth and efficient operation of assigned administrative operations. Manages administrative support staff, coordinating and prioritizing responsibilities, promoting staff training and development. Executes projects and administratively supports leadership as directed.

• Manages and coordinates office workflow and that of administrative support staff. Reviews and monitors work performance, motivates staff, determines staff training needs, provides staff training and growth opportunity, and initiates positive discipline, as necessary. Resolves administrative staff issues, facilitating teamwork and cooperation. Develops and implements administrative staff/office policy.

• Participates in hiring and manages other staff HR functions/processes, i.e. 90-day and annual reviews, time and attendance records, etc.

• Conducts team meetings to discuss office matters, workflow, procedures and policy, teamwork, etc.

• Serves as event coordinator and supports leadership with planning, executive and other managerial/administrative duties surrounding campus and department events, town halls, etc.

• Manages department functions including equipment, supplies, furniture, etc. Maintains files and ensures department maintenance, as appropriate. May have budgetary oversight and responsibility.

• Supports Leadership on all support functions such as calendaring, meeting/appointment scheduling, travel arrangements, events and registration, etc. Schedules and organizes meetings as requested.

• Provides administrative and secretarial support to leadership, including reception, mail, correspondence, research, projects and other duties. Prepares agenda, executive-level reports and materials, presentations, meeting minutes,

spreadsheets, etc.

Qualifications

  • Minimum qualifications :
    • Associate or 3+ years experience
    • 3 years Leadership Experience
    • Associate's degree in secretarial science, business, or related field; and two years executive secretarial/assistant and/or office supervisory experience, OR Three to four years executive secretarial/assistant and/or office supervisory experience
  • Preferred qualifications:
    • Proficiency in Microsoft Access, Project, Visio, and Live Meeting
    • Basic accounting, human resources, legal and/or contract administration knowledge
    • AH/AHS Sunport system
    • Associate's degree in liberal arts (i.e. English, Communication, Journalism, Philosophy, Humanities), or analytic sciences (i.e. Business, Computer Science, Psychology)
    • Experience in the healthcare industry
    • Event planning/coordination experience
    • Certified Professional Secretary (CPS) or Certified Administrative Professional (CAP)
