Position Summary

This position performs administrative program support activities including front door and mail services. This position often serves as the first contact for inquires and complaints concerning projects, traffic incidents, detours, conferences, meetings, etc. Considerable tact and decision-making when responding to customer inquiries is required of this position. This position leads the region's Fleet Management Program and the Employee Parking Program for a large and complex transportation region. As the Region's Fleet Coordinator, this position manages the region's fleet program for over 80 vehicles and pieces of equipment, located at different sites, requiring use of considerable judgment and initiative and directly impacting the success of effective management of region vehicle resources. This requires a working knowledge and application of region, division, department and state fleet policies and procedures. The position monitors the acquisition, assignment, usage and disposition of each vehicle in the fleet. It coordinates maintenance services through a vendor-managed online program with multiple vendors and requires considerable communication at the region and department levels. Additional functions of this position include administering the employee parking program. This position serves as back-up to miscellaneous administration tasks. This position also assists purchasing activities. This position oversees mail/package delivery support activities at multiple regional sites, recommends and implements Region policies as they relate to mail services, evaluates Region service needs to ensure adequate supplies, and monitors the postage meter. The position will train Region staff in mail and fleet services. This position maintains and controls the building stores inventory for approximately 350 staff.

Salary Information

This position is in schedule-range 02-10 with an hourly salary of $20.02, plus excellent benefits. A twelve month probationary period is required. Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan.

Qualifications

A qualified candidate will have the following qualifications:
  • Use of Microsoft Office Suite (Excel, Word, PowerPoint, Access) or similar software.
  • Experience assisting internal and external customers by utilizing a variety of communication methods.
A well-qualified candidate will have the above criteria as well as:
  • Experience performing general administrative duties including, but not limited to: typing, filing, answering phones, and forwarding calls, purchase of office supplies, processing incoming and outgoing mail.
  • Customer support experience, this may include phone contact handling skills and answering customer questions
  • Experience with a fleet management program. This may include general fleet management support activities, including policies, data entry, tracking, verifying and updating reports for internal use. Experience may also include making informed decisions regarding equipment maintenance and repairs.
