Program Overview

The Department of General Services (DGS) is comprised of many and diverse functions sharing a common and critical mission: providing service to Montgomery County departments and offices that enables them to serve the public. Our success is measured by how we help others succeed. The Director's office provides overall leadership for the department, including policy development, planning, performance measures, accountability, service integration and customer service. The Director's office also administers day-to-day operations of the department, including operating and capital budget preparation and administration, training, contract management logistics, facilities support and human resources. We are one department, with one mission: Delivering Great Service.

Roles & Responsibilities

The Office Services Coordinator provides general administrative support to the Director's Office, this includes the deputy directors, the division chiefs, and the HR Liaisons. To succeed in this position, the employee must be able to use office automation systems and computer applications, receive calls, prepare correspondence, and provide excellent customer service. This position requires strong communication and organizational skills, and the ability to multi-task and prioritize work assignments are required, as well as the ability to work fairly and equitability with all level of employees.

Duties
  • assisting in the coordination of meetings for the Director's Office
  • greeting visitors
  • assisting with formatting and proofreading documents
  • following the County's established correspondence guidelines
  • signing for deliveries
  • ensuring paper and supplies are stocked
  • assisting HR liaisons with scheduling candidate's interviews
  • booking conference rooms
  • completing reference checks for candidates
  • sending interview follow-up emails
  • assisting with planning of department's team building events, Length of Service Awards
  • participating in ad-hoc committees

Employee will perform other related duties as required.

Minimum Qualifications

Experience: Four (4) years of progressively responsible office support experience.

Education: Graduation from high school or High School Certificate of completion recognized in the State of Maryland.

Equivalency: An equivalent combination of education and work experience may be substituted.

Preferred Criteria

All candidates meeting the minimum qualifications will be rated "Qualified" and placed on the Eligible List for consideration. Selection for interviews will be based on the following areas of experience. Taking the time to address them in your resume is recommended.
  1. Experience using Microsoft Office Suite (Word, Excel, PowerPoint) to review and prepare invoices, spreadsheets, reports, letters, and other documents.
  2. Experience preparing and formatting Director level correspondence.
  3. Experience planning and coordinating events.
  4. Experience working in a customer service organization.
  5. Experience scheduling and preparing materials for job interviews.
