This position is located in the city of Grass Valley .

Answer multi-line phone; greets the public, including walk-in clients and potential clients; diffuses difficult situations should they arise at the job center; schedules orientation appointments for potential clients; helps clients to fill out applications for service.

Utilizes the AWARE electronic case recording system, prepares authorizations for goods and for services, including authorizations for Maintenance and Transportation. Keeps a file of vendors for whom payment must be rendered.

Obtains clients' medical information of record. Prepares office reports.

Occasionally writes special reports documenting special projects undertaken. Occasionally types up manuscripts and letters for the Rehabilitation Supervisor.

Reviews counselor letters for spelling, punctuation, diction, style, and formatting.

Receive, audit, and prepare all client invoices for the branch.

Composes and types out emails concerning office procedures and vocational rehabilitation case work, including regulations, for a variety of internal customers.

Responsible for all client files in a branch office. Develops and maintains files of invoices for consumer services and goods rendered.

Responsible for continuously updating logs for the branch, including but not limited to, client logs; phone logs; college fee and schedule list, and Individual Service Provider (ISP) information.

Sole person processing incoming and outgoing mail for the branch. Must determine who receives incoming mail in all cases. Opens, date stamps, and looks at all mail, including mail from clients, which is sensitive and confidential.

Orders all supplies for the branch office, including any special supplies. Resolves any problems with proper receipt of supplies with vendors.

Initiates and follows up on the identification and resolution of building and facilities-related problems on behalf of the Team Manager/Rehabilitation Supervisor. Responsible for keeping all branch machines in working order. Surveys old equipment, which includes recording all product details, such as manuals, warranties, and barcodes. Based on Central Office (CO) rules, determines whether to dump the product, send it to Central Office, or to donate it.

Communicates regularly with VR staff; provides excellent customer service to both internal and external customers; ensures the timely completion of assignments; interacts with consumers and coworkers in a professional manner, and with integrity and respect. Attempts to resolve individual's concern at the lowest possible level; offers other dispute resolution options; and elevates to next level, if needed.

Provides personnel support to counselors in the branch including preparing attendance and travel advances when necessary.

Working Conditions

Telework: This position may be eligible for a hybrid telework option upon completion of the probationary period and will be required to report to the office as needed/required. Under Government Code 14200, this position is a hybrid, in-office/telework position, and may be subject to change. Incumbent must live and work in California. Incumbent can be required to report to the office, or any designated location at any time. Telework agreements can be modified and/or cancelled at any time.
