UPMC University of Pittsburgh Physicians is hiring a full-time Onboarding Specialist to join their Health Information Management team located in Oakland! This position works Monday through Friday, daylight hours. This role will be in the office as required, but does offer remote/hybrid options!

Purpose:
Physician Services (PS) consists of 23 specialty departments as well as community medicine practices. Its providers see patients in over 800 practice locations and maintain privileges in hospitals throughout UPMC health system as well as outlying hospitals in Pennsylvania and neighboring states. After being appointed to the facility's medical staff, these physicians and Advanced Practice Providers (APPs) undergo reappointment once every two years to validate their good standing, and continued competency in performing the requested procedures. The tasks involved in the initial appointment and reappointment processes are tracked on process worklists within the credentialing software MSOW. The Onboarding Specialist is responsible for leading, coordinating, and monitoring the credentialing processes in accordance with departmental and organizational policies and procedures. The Onboarding Specialist facilitates the initial appointment, and reappointment process for physicians and APPs, and serves as a liaison between providers, departments, the Credentials Verification Office (CVO), medical staff offices, and Enrollment. The Onboarding Specialist is responsible for ensuring the accuracy and integrity of the credentialing database and providing regular status reports.

Responsibilities:
  • Obtains necessary documentation from providers and other sources to facilitate the initial credentialing and reappointment process
  • Identifies issues that require additional investigation, works closely with providers and lead to address discrepancies, and ensure appropriate follow-up
  • Reviews portal application, facility-specific forms, and state agreement documents for accuracy and completeness before submitting to the appropriate parties
  • Processes applications efficiently and accurately according to established procedures and time frames
  • Assists providers on the medical license and/or DEA license application and renewal process
  • Maintains worklists and provider-specific records in credentialing database, ensuring all important details are documented
  • Performs data entry and scans accurately and efficiently according to established policies, procedures, and guidelines
  • Compiles and maintains current and accurate data for all providers, including but not limited to copies of current state licenses, DEA certificates, and clearances to ensure timely renewals
  • Consistently knowledgeable of the status of each assigned process and answers inquiries related to providers? credential status and approved privileges in a timely manner
  • Assists CVO with primary source verification when needed
  • Assists with distribution of payor signature packets to providers and works closely with Enrollment to ensure the timely return of documents
  • Maintains excellent communication (verbal, written and electronic) with all customers, including but not limited to, providers, departments, the CVO, medical staff offices, Enrollment, the APP office, and Legal.
  • Demonstrates a service-oriented approach to the position by conveying courtesy, respect, and a positive attitude by showing initiative and offering assistance to other staff.
  • Maintains confidentiality of provider information and performs other miscellaneous job-related duties as assigned


Qualifications:

  • High school diploma or equivalent required.
  • College degree preferred.
  • Excellent data entry and computer skills required and possess a strong desire to maximize the use of technology to automate processes.
  • Detail oriented person with excellent communication and strong customer service skills required.
  • Must be able to work independently, be flexible, and function well in high stress situations.
  • Prior credentialing experience preferred.
