This position will work a hybrid schedule, with the expectation to work onsite 3-4 days per week at Lightwave and remotely.

DESCRIPTION

Under the supervision of the Access Supervisor and Manager, the Oncology Access and Administrative Lead is responsible for supporting business operations, coordinating daily clinic activities as a float for Surgical (Medical) Oncology specialties, and supporting workflows of Administrative Services. This includes managing patient registration, verifying insurance eligibility, and handling authorizations. The role also involves managing multiple phone lines and voicemail, Right Fax, transcribing referrals into EPIC, uploading documents into Media, and coordinating referrals. Additional duties include tracking outside records and images, following up on triage protocols, scheduling new and return office visits, and rescheduling appointments during provider's absences.

The Oncology Access and Administrative Lead also plays a vital role in supporting faculty by managing meeting arrangements and calendaring, and coordinating weekly general tumor boards, which involves collecting and compiling pathology reports, slides, and films for each patient case, and organizing all patient clinical information in a presentable manner. Additionally, this role handles reimbursement processes for travel and other expenses, and assists with faculty re-appointments and the licensing process.

Additionally, The Oncology Access and Administrative Lead supports patient experience and quality assurance by overseeing staff performance to ensure compliance with policies and regulations. This includes conducting quality assurance for Registration Bypass Warnings and monitoring pending tasks such as Right Fax, Inbasket messages, and work queues. This role serves as the point of contact for escalated issues, effectively communicating with the appropriate leader(s) to resolve concerns.

The Oncology Access and Administrative Lead supports the Clinical Care Coordinator team by managing new employee onboarding, providing continuous training for existing team members, actively embracing employee engagement initiatives, and offering back-up support across teams. The role involves troubleshooting day-to-day administrative and IT issues and overseeing office supply purchases to ensure smooth operations. Additionally, the Lead supports the Access Supervisor and Manager by ensuring team coverage, managing timecard edits and attendance, and overseeing projects, improvement initiatives, and tier 1 huddle boards. The Coordinator also assists with protocol updates to improve team efficiency and effectiveness.

MINIMUM QUALIFICATIONS
  • A minimum of six (6) years of related experience, education/training, OR, a Bachelor's degree in business, healthcare administration, or related area plus two (2) years or more of relevant experience.
  • Experience working in a large, complex healthcare setting.
  • Knowledge of ambulatory care clinic practice management including patient care workflows and processes.
  • Demonstrated high-level administrative and clinical coordination experience in healthcare, with strong executive-level administrative skills.
  • Experience with time-keeping and managing staff schedules.
  • Experience in coordinating the schedules of multiple clinical providers, including managing and arranging complex calendars for meetings, surgical procedures, and appointments.
  • Proven experience working with Health insurance companies and Community Medical Groups.
  • Demonstrated knowledge and advanced level skill in word processing software applications (Word, Excel & PowerPoint).
  • Demonstrated understanding of medical/scientific terminology.
  • Clinical knowledge of clinic practice area.
  • Ability to interact well with care teams, and all patients and families.
  • Strong interpersonal skills to work effectively with faculty, staff and students within the Division, School, and external constituents. Ability to make appropriate decisions and maintain strict confidentiality.
PREFERRED QUALIFICATIONS
  • Demonstrated experience in a leadership role, with the ability to manage and support team members, ensure effective onboarding and training, and drive team engagement and performance.
  • Experience in project management.
  • Experience with Lean methodology.
  • Prior Oncology experience.
  • Proficiency with Epic EHR system.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.
  • Hybrid work schedule with a minimum of 3-4 days onsite per week.

Pay Transparency Act

Annual Full Pay Range: $63,099 - $91,914 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.22 - $44.02

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
