About the Role:
As a CBRE Operations Management/Contract Support Coordinator, you will be responsible for providing basic day-to-day business operations support a client data center. This role delivers exceptional customer service and comprehensive, flexible administrative support to the client and the contract.

This job is part of the Operations Management job function. They are responsible for coordinating staff functions and operations that support the organization's goals and strategies.
What You'll Do:
  • Coordinate the timely entry and processing of standard AP transactions such as vendor invoices and expense reports. Research vendor invoices and payment inquiries.
  • Understand the contract scope, client procedures, processes, and systems, and operate them to the required standards.
  • Allocate expenses within the appropriate system.
  • Review and enter standard agreements and transactions into the database. Assist with creating corresponding files that are compliant with company and state requirements.
  • Work with other departments in obtaining necessary verifications from sales professionals on various contingencies.
  • Prepare billing requests for non-transactional items. This includes client marketing reimbursement or employee reimbursement.
  • Client relationships and communication - subject matter expert for all FM Soft Service activities, delivering best in class client satisfaction, possess deep listening skills to understand expectations, with regular communication and meetings with client representatives.
  • Vendor management - develop relationships with vendors, soliciting RFPs, obtaining and negotiating costs for services and repair work, ensuring quote accuracy as well as full understanding of the scope of work. Manage vendor performance with onsite meetings, quarterly reviews, audits and job walks as appropriate. Schedule of work, requesting LOTO or hot permits where needed, arranging site access, escorting vendors and overseeing the work to ensure strict compliance with QHSE standards for both client and CBRE, as well as adherence to the scope of work.
  • Contract management and record keeping - be very familiar with the scope of each contract to ensure compliance. Initiate contract renewal documentation where appropriate and assist with supplier setup and onboarding for all new vendors.
  • Assist Regional Contract Support with purchase requisitions/purchase orders, resolving invoice issues, annual budget planning and forecasting.
  • Continuous improvement - develop and share best practices and innovative ideas for streamlining duties.
  • Compile monthly reports and other reporting as required.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver your own output by following defined procedures and processes under close supervision and guidance.

What You'll Need:
  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Extreme attention to detail, excellent communication and organization as well as superior client service.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
  • Ability to work under pressure, with changing demands and priorities. High degree of self-motivation and systematic approach.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
