GENERAL SUMMARY/ OVERVIEW STATEMENT:

THIS POSITION IS 100% ONSITE.

The Operations Manager of the NEIL AND ELISE WALLACE STRATUS Center for Medical Simulation at Brigham and Women's Hospital manages the day-to-day operations of the Center, including the team of Simulation Specialists and support personnel required to do so. STRATUS is a multidisciplinary medical simulation center located at a Harvard Medical School affiliated teaching hospital providing education, assessment and research opportunities to a wide variety of users. In this role, the Operations Manager reports directly to the Administrative Director of STRATUS Center.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Operations

  • Oversee STRATUS Simulation Specialists to prioritize projects and to meet quality standards and deadlines.
  • Perform the duties of a simulation specialist as necessary, determined by staffing and course volume.
  • Work with the STRATUS Center and the Patricia A Chin Nursing Lab (PAC Sim) staff to identify and scope out the needs of potential internal and external courses, including projected logistics, supplies and staff coverage requirements.
  • Lead and support preparations for and execution of all simulation programs at the STRATUS Center and PAC Sim, coordinating with STRATUS Center and PAC Sim administrative personnel, program faculty and other necessary contributors.
  • Lead the management, storage and/or archiving of all STRATUS Center and PAC Sim assets, inventory and maintenance files.
  • Ensure that the physical plant including simulators, capital equipment and supplies are neat, orderly and in good working condition at all times.
  • Develop and maintain technical proficiency with all aspects of the operation, maintenance, support, troubleshooting and repair of STRATUS Center and PAC Sim simulation platforms and associated equipment.
  • Maintain a current of vendors and interface with them for simulators and all other equipment required in the operation of the STRATUS Center and PAC Sim to trouble-shoot equipment and systems problems, as well as forecast the need to obtain and implement/install hardware and software updates.
  • As needed, participate in external simulation contracts and consulting with the potential for travel, including but not limited to the creation of operational system implementation strategies for simulation program development.


Administrative

  • Serve on the STRATUS Leadership Team to provide short- and long-range comprehensive strategic and operational planning in support of the Center and to refine priorities and implement policies, procedures and practice standards consistent with the mission and objectives of the Center.
  • Hire and supervise the Simulation Specialists including orientation, on-the-job training, oversight, scheduling, performance appraisals and professional development.
  • Collaborate with Center staff on the development, implementation and maintenance of the STRATUS learning management system.
  • Lead weekly Operations Team meetings.
  • Oversee the management of the STRATUS Center Outlook calendar in collaboration with the Assistant Director of Education.
  • Assist in updating the STRATUS Policies and Procedures Manual under the direction of the Administrative Director.
  • Review, update and maintain the Operations training policies and procedures manual to guide the instruction of the Operations staff on all simulators and equipment in the STRATUS Center and PAC Sim.
  • Serve as the primary timekeeper and approver for Operations Team weekly paid employees within UKG.
  • Collaborate with Center staff on SSH and ACS re-accreditation applications.
  • Lead tours of the STRATUS Center for visitors.
  • Manage the maintenance of the STRATUS and PAC Sim facilities utilizing BH Engineering or private contractors, as needed.
  • Assist with construction projects under the direction of the Administrative Director.
  • Assist with STRATUS Center research efforts as designated by the Director of Research and Innovation including purchasing, operational support and program development.
  • Perform other related duties as assigned or requested by the Administrative Director.


Education

  • Participate in, support and/or teach various simulation operations-based educational programs and modules to STRATUS staff members, fellows and external constituents as needed.
  • Assist with and ensure the orientation of faculty and other users of the STRATUS Center and PAC Sim on the operational aspects of simulation program development.


Financial

  • Serve as the primary point person for simulation supply ordering for STRATUS, PAC Sim and research programs.
  • Assist the Administrative Director in monitoring and tracking departmental simulation purchases and expenses.
  • Identify and connect key departmental stake holders for capital purchases under the direction of the Administrative Director, Medical Director and Executive Director of Emergency Medicine.
  • Lead and advise the Administrative Director regarding Center in-kind donation request initiatives to offset operational costs in order to expand current and new courses for internal constituents.


Qualifications

QUALIFICATIONS:

  • Bachelor's Degree preferred.
  • At least three (3) years of combined management and/or clinical operations experience in a healthcare setting, including supervision of personnel.
  • Strong analytical, organizational, interpersonal and demonstrated customer service skills required.
  • Extensive knowledge of medical terminology and general office procedures. Knowledge of procedures preferred.
  • Three (3) years' experience in simulation center operations.

  • Exceptional interpersonal skills necessary to engage successfully and courteously with a diverse group of staff, students, visitors, vendors, etc.

  • Capacity to maintain a composed demeanor under stressful conditions.
  • Ability to foster a team environment and work both independently and as a team member.
  • Basic financial/accounting skills.
  • Robust independent judgment skills to multi-task, organize work and set priorities.
  • Excellent computer skills, including Outlook email, Microsoft Office software (Word, Excel, PowerPoint), Zoom teleconferencing platform, as well as site-specific software.
  • Periodic ability to work outside of standard business hours.
