Job Summary

Based in our New York, NY location, this position will provide ongoing support to IEEE's Legal and Compliance Department (L&C) currently reporting to the Managing Counsel, Employment. The Paralegal maintains direct daily contact with attorneys and professional staff, performing a variety of duties with respect to both legal matters and compliance matters in furtherance of IEEE's mission and related business initiatives. The paralegal will be working with the Managing Attorney, Employment, and Ethics Counsel, to support L&C's employment law and the ethics and misconduct portfolios, including, but not limited to, assisting attorneys in preparation for discovery, pre-litigation and litigation phases, legal research, triage of complaints submitted in the Ethics hotline, and managing related databases.

A customer service focus is essential in this highly collaborative, mission-based not-for-profit organization. IEEE Legal and Compliance strives to use technology to its fullest extent.

This position will have no direct reports.

Key Responsibilities

  • Provides support for attorneys and compliance professionals, both verbally and in writing
  • Maintains, refines, and expands (where necessary) the L&C informational chatbot. Analyzes user feedback, maintains and enhances the style guide and governance guide for the chatbot to ensure consistency and quality
  • Assists with litigation support, including e-discovery, subpoenas, third-party document requests, and document productions
  • Supports all administrative tasks needed to manage L&C functions, such as general file and database management, archiving, and contract repositories
  • Assists with investigations and investigation reports
  • Performs legal research as requested
  • Drafts correspondence as necessary and produces error-free and grammatically correct documents
  • Assists with diligence, audit, and other projects on an as-needed basis
  • Enhances presentation materials for content, visual engagement, and consistency with IEEE style guidelines
  • Anticipates and follows up on assigned matters and tasks with a proactive, problem-solving approach within a complex global operating environment
  • Proactively manages department commitments and timelines such as project status updates and ensures supervisors are aware of critical dates and deadlines
  • Lead and manage the independent contractor review process in collaboration with partners from Finance (Tax Management) and Human Resources
  • Communicates relevant and potentially sensitive information to and from others, maintaining a high level of confidentiality and exercising good judgment.
  • Take ownership of the maintenance, enhancements, and user experience for the ethics reporting database, including managing the relationship with the vendor, providing recommendations on product enhancements and process efficiency
  • Represents the business professionally and operates in a manner consistent with the IEEE culture
  • Provide ongoing support to L&C in the areas of ethics, misconduct, employment, and human resources
  • Additional responsibilities to support the Legal & Compliance department, as assigned


Qualifications

Education

  • Bachelor's degree or equivalent experience Req
Work Experience

  • 4-7 years Prior experience in the areas of ethics (misconduct), employment law, or litigation is required. Req
  • 4-7 years Prior experience in a corporate legal department, a not-for-profit organization, or an administrative setting preferred Pref
Licenses and Certifications

  • Paralegal Certification Pref
