Patient Access Coordinator

La Rabida Children's Hospital is hiring a full-time Patient Access Coordinator for the Registration, Scheduling, and Admissions department in Chicago, IL.

Job Summary:

The Patient Access Coordinator is responsible for the registration and scheduling of all Outpatient Clinic patients. The Patient Access Coordinator is also responsible for the registration of patients for Inpatient, Rehabilitation, and Behavioral Health services. The Patient Access Coordinator consistently provides excellent customer service and maximizes revenue for the hospital by ensuring that insurance is appropriate and proper authorization is secured.

Essential Patient Access Coordinator Functions:

REGISTRATION
  • Assists children/families presenting for Outpatient Clinic, Rehabilitation, and Behavioral Health appointments. Checks- in patients in Athena.
  • Obtains proper consents for all patients, either from the parent/legal guardian or from DCFS. Also ensures that existing outpatient consents are updated on an annual basis.
  • Ensures that all demographics are accurate by confirming with the parent/legal guardian.
  • Ensures completion of Delegated Authorization for Treatment of a Minor, to confirm who, besides parent/legal guardian is authorized to bring the minor in for care.
  • Collects and verifies all insurance information for planned admissions, ensuring that the hospital is contracted with the plan and that proper authorization is obtained.
  • Works with the Admissions Coordinator to facilitate the transfer of clinical documentation to the insurance plans.
  • Verifies insurance for all outpatients, ensuring that the hospital is contracted with the plan and that proper authorization is secured, when needed.
  • Prints registration forms and applies the wristband to the patient, after confirming verbally that it is the correct patient.
  • Registers parent/guardian, as appropriate, for the electronic patient portal.
  • Scans/faxes ID cards; insurance cards; consents; Coordination of benefits; out of network notification; observation notification; and referrals/authorizations.
  • Collects patient copay amounts as required per contractual agreement with patient's insurance plan. Works in aiding self -pay and other families noting financial hardship and helps facilitate contact with the OP Financial Counselor.
  • Distributes a Medication list to parents/legal guardians at the time of check-in to review prior to the Clinic visit
  • Stays apprised of Medicaid, Medicaid Managed Care and all other insurance changes and can assist patients in navigating common insurance related questions with ease.
  • Creates HOME accounts for the Inpatient SCC patients so that documents can be scanned by HIM
  • Works with HIM and Admissions to obtain proper ICD10 code(s) for admissions.
  • Pre-registers patients for Clinic and Rehab, contacting patients by phone if there are issues with consent or insurance.
SCHEDULING
  • Monitors and processes appointment requests via the Clinical Inbox scheduling buckets in Athena. Notifies the requestor if there is a problem with insurance or if future orders are needed from the provider.
  • Works collaboratively with the OP Financial Counselor in facilitating insurance issues of both new and established patients.
  • Abides by and ensures understanding of clinic specific scheduling requirements and notifies clinical team of any deviation from the standard template.
  • Schedules appointments by phone.
  • Reschedules cancelled clinics.
  • Processes clinic change requests, freezes clinics and opens additional clinics.
  • Verifies demographics and insurance, updating all fields in the Registration screen.
  • Works with the Access Center nurse in scheduling new patients.
  • Returns voicemail messages.
  • Schedules internal referrals. Assists the Referral Coordinator in scheduling external referrals.
  • Contacts waitlisted patients to schedule appointments.
  • Reaches out to families daily for those patients who have not showed. Keep Outpatient Leadership and Case Managers apprised if they are unable to reach the families. Documents all efforts in a patient case.

CUSTOMER SERVICE/TEAMWORK
  • Greets and warmly welcomes patients to our hospital, either in person or on the phone.
  • Greets team members upon arrival.
  • Works with team members to ensure that daily tasks and/or projects are completed.
  • Willingly adjusts work schedule, when possible, to cover department needs.
  • Assists team members with registrations, scheduling appointments, and other tasks.
  • Mentors new team members, providing guidance and encouragement.
OPERATIONAL
  • Actively shares and engages in new operational initiatives by providing feedback on manners to improve efficiency and workflow.
  • Ensures that the Registration, Admitting, and Reception desks are adequately supplied.
  • Ensures that phones are covered sufficiently during all OP phone operating hours.
  • Orders office supplies.
  • Retrieves voicemail messages and conducts timely follow up as appropriate.
  • Reports all computer and environmental issues in a prompt and efficient manner to their supervisor.

What we need from you:
  • High school diploma preferred
  • Minimum 2 years related work experience required; previous hospital experience with HMO experience preferred
  • Typing skills required; ability to think objectively and multi-task required; working knowledge of Microsoft Word & Excel preferred
