GENERAL RESPONSIBILITIES: The ideal candidate will be a point person for employee questions and information flow between the school and the city. Counsel and communicate with new and existing school employees the basic interpretation of HR policies, benefits, eligibility, plan provisions, enrollment and other items relating to employee benefits and procedures. The candidate would have a working knowledge of benefit administration including on-boarding, employee benefits, claims administration, payroll processing, accrued leave tracking, record keeping, and compliance with state and federal laws and regulations as it relates to schools. The candidate will be responsible for accurate processing and recording of all benefit information, providing accurate and timely benefit information to the City for administration, along with assisting the Payroll & Benefits Manager with payroll and various support functions. ESSENTIAL TASKS: (These are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.) - New Hire “On-Boarding” Process; which includes sending out and collecting required employment paperwork such as W4's, I-9's and benefit enrollment paperwork (following up with employees on missing information). - Answering a large volume of telephone and email inquiries related to benefit questions, researching any questions and responding verbally or in writing as necessary. - Communicate with the City HR Department regarding health/dental, flex, life insurance enrollments, problems, inquiries, following up with both the employee and the City HR Department. - Work closely with the City HR Department, City Payroll Department and the School's Payroll & Benefits Manager to ensure that coverage for all employees on benefit plans is recorded accurately in the payroll system. - Maintain, organize and ensure all required documents are collected, and are maintained in the personnel and payroll files. - Maintain employee records in payroll software to include processing and input of new hire and termination paperwork. - Responds to reference checks, employment and income verifications, such as banking, loan forgiveness, etc. - Biweekly payroll assistance, positing of hours worked, accrued leave used and earned. Serves as backup to the Payroll & Benefits Manager. - Assist with employee inquiries & enrollment regarding benefits and leave accruals. - Leave accrual entry. - Coordinate mailings. - Other duties as assigned by Payroll & Benefits Manager and/or Superintendent of Schools.
