People Assistant (Human Resources) - Full Time - Port St. Lucie, FL

We are currently hiring a People Assistant who will be responsible for providing support on the day-to-day operation of the People Team department in various areas such as recordkeeping, payroll, benefits, and recruitment. Respond to inquiries and requests from internal and external customers.

Represent the PGA of America in the utmost professional manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Support the recruitment function background checks, drug screenings, and creating and executing onboarding schedules for new talent.

Conduct onboarding meetings with new employees. Assist in the creation of engaging and contemporary onboarding materials for new talent.

Establish and maintain accurate and organized filing systems for various confidential employee records, including but not limited to historical I-9 records, and purging of files as required.

Process The People Team financial transactions for both PGA Corporation (CORP) and Management Services, Inc. (MSI), e.g. purchase and payment requisitions, coding invoices, garnering approvals, and maintenance of invoice database for reconciliation.

Reconcile monthly insurance billing for all benefit coverage. Reconcile third-party COBRA administration. Assist with the open enrollment process.

Administer and coordinate the ordering of non-slip shoes for new talent in the F&B department. Including processing returns and refunds through Shoes for Crews.

Administer the tuition reimbursement requests for both CORP and MSI. Ensure employees' application is within policy guidelines and all supporting documentation is provided. Work with CORP's Membership Department to verify payment for PGA Member programs. Track payments made to employees.

Assist in the coordination of employee activities including employee appreciation events, wellness fairs, etc.

Administer Employee Recognition and Service Award Programs.

Compile data for the Safety Committee. Schedule meetings; distribute minutes and pertinent information to committee members.

Maintain state and federal labor law postings and other pertinent information on company bulletin boards across all department locations.

Provide Verification of Employment as requested, ensuring proper handling of private information.

Prepare documentation for audits and report filings as requested.

Assist with processing Workers' Compensation claims with insurance company.

Open, sort, and route all incoming mail and interdepartmental correspondence.

Place orders for flowers, business cards, and employee name tags.

Help ensure the Club thrives by keeping People Team leadership aware of the pulse of the workforce, recognizing and discussing any concerns. Be visible to the workforce by making regular visits to the various departments.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.

EDUCATION and/or EXPERIENCE

High School Diploma some college preferred in Human Resources or related field.

Two years of administrative support level experience, with one year of experience within a human resources environment preferred. Strong attention to detail and customer service skills required. Proficient in the use of both Google Workspace and Microsoft Suite. Workday processing experience preferred. Bilingual preferred.

COMPUTER SKILLS

Ability to navigate a Customer Relationship Manager (CRM) system to enter new hires and terminate employees. Proven proficiency in the use of Google Workspace and point-of-sale systems. Ability to navigate Human Resources Information Systems (HRIS), preferably Workday.

COMMUNICATION SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute ratios, and percentages.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems and apply relevant employment law and company policies.
