Personnel Specialist - Humanities Shared Services College of Arts and Sciences

Full-time, Non-Exempt, Salary Range $40,500 - $44,000 DOE&Q

Description: The College of Arts and Sciences seeks a Personnel Specialist for Humanities Shared Services to work serving as the subject matter expert for Human Resources processes for the departments of Classics, Philosophy, and Religious Studies. This position works with the Business Manager and constituent Department Heads to coordinate personnel processes for tenure-track faculty and non-tenure-track faculty searches, leaves, and the promotion/tenure processes. The constituent departments attract a diverse range of faculty and students. In addition to an array of international faculty and visiting scholars, 40% of the current graduate student body of these departments is international. This position will coordinate the international student and scholar processes with the Center for Global Engagement's office of International Student and Scholar Services. In addition, this position will assist the departments with summer and mini-term payrolls, and will assist with compliance efforts, report preparation, and local departmental administrative assistance as needed.

Responsibilities:

• Coordinates tenure-track faculty and non-tenure-track faculty searches for the departments, serving as the primary resource for Interfolio submissions by faculty and department head

• Serves as subject matter expert for constituent departments on search policies and procedure

• Prepares Recommendation for Faculty Appointment packages as needed

• Serves as subject matter expert for constituent departments on leave policies and procedure

• Coordinates faculty development leave requests, zero-teaching assignment requests, and modified duties assignments in Interfolio, serving as Department Case Facilitator

• Coordinates promotion and tenure process for tenure-track faculty in Interfolio

• Coordinates promotion process for non-tenure-track faculty in Interfolio

• Serves as Shared Services contact with the College and Provost's Office on matters related to faculty searches, leaves, and promotion/tenure

• Initiates personnel transactions, including personnel change forms, teaching overloads, additional pays, etc. as needed

• Coordinates the F and J visa processes as well as the H1-B immigration proce

• Monitors visa expiration dates and works with students and scholars to renew visas in timely manner

• Coordinates on-boarding of international students and scholars with Banner Coordinator and Business Manager, ensuring that international students have pre-arrival information and are enrolled in international student orientation

• Serves as Humanities Shared Services liaison

• Coordinates the payment process for Winter mini-term and Summer Mini-term, ensuring that payments are processed for all courses offered with salaries approved by the College office

• Initiates hiring of term faculty for Summer School as needed

• Initiates personnel changes and appointment of Graduate Teaching Associates for Summer School

• Requests new positions for Graduate Teaching Assistants temporarily assigned as Graduate Teaching Associates for summer

• Assists department heads and faculty to ensure compliance with the guidelines, policies, and procedures of Equal Opportunity and Accessibility, HR, the College and the Provost's Office

• Ensures SACS 18-hour compliance for Graduate Teaching Associate

• Tracks completion of required Outside Interest Disclosures for constituent department

• Provides historical data on faculty leaves to determine eligibility for FDLs and other leave

Qualifications:

Qualifications:

Required

• Bachelor's Degree with 2 years of experience in an administrative position

Preferred

• Experience in higher education

• Experience in a human resources position

• Demonstrable knowledge of a large platform HR/payroll system

• Knowledge of UT and College of Arts and Sciences organizational structure and administrative responsibilitie

• Demonstrable ability to learn and utilize new software quickly

• Knowledge of U.S. employment, immigration, and visa regulations and processe
