The Opportunity

We are seeking a full-time Practice Administrator to lead the coordination of operations and financial management of the Spine Center and Pain Management Services located in the Newton-Wellesley Ambulatory Care Center at 159 Wells Avenue in Newton, as well as the Kaplan Joint Center located at 2014 Washington St, Newton, MA.

The Practice Administrator works closely with and reports to the MGB Medical Group (MGBMG) Director of Operations, Orthopedics and supports the daily operations, budgeted goals, business plan, quality programming and the strategic plan for the Medical Group within the Spine and Pain Management areas of oversight. This role will participate in building annual operations budgets, capital budgets and will be accountable for review and mitigation planning relative to performance measures for areas of oversight. As a member of the MGBMG leadership team, assisting in the development of departmental and organizational policies, procedures, protocols and standard work. The Practice Administrator is responsible for the patient experience and achieving MGBMG targets for access to care and patient satisfaction. This role has direct responsibility/accountability for the operations and the teams at assigned medical practices.

Other Responsibilities Include:

  • Develop business plans for practice initiatives and present them to physician group and MGBMG leadership.
  • Lead specialty service line strategic initiatives, development of new programs, and defining measures of success with business and clear access, operational and quality metrics, tracked and reported out to senior leadership.
  • Work closely with providers and MGB marketing to promote practice and develop promotional tools. Take responsibility for reporting on performance as compared to strategic targets associated with the marketing efforts.
  • Lead monthly meetings with providers to review key performance indicators (KPIs) financials, practice performance, address issues/concerns, and keep providers informed of MGBMG projects and initiatives.
  • Analyze and synthesize information from operational and financial reports. Develop plans to address variances from KPIs, goals, and other reports
  • Analyze and manage budget variance to ensure optimal fiscal performance. Develop action plans to respond to negative variances and achieve budget targets.
  • Accumulate data and analyze operational dashboards for practices, develop work plans and take action where appropriate if targets are not met.

Qualifications

Qualifications

  • Bachelor's degree in business or health care required, MS preferred
  • Minimum of 5-7 years of progressive experience in operations, project management, and/or healthcare management required; additional years of experience in healthcare financial management/ analysis preferred
  • Minimum of 2 years of practice management experience managing a diverse workforce
  • Proven ability to build, lead, and retain high performing teams of diverse, multidisciplinary, multidisciplinary, multi departmental stakeholders at varied levels of academic and professional experience.
  • Knowledge of medical office procedures, protocols, coding, reimbursement and experience with electronic medical records required
  • Multi-site, multi-team leadership experience preferred
  • Must be able to work independently, develop, analyze & report financial data, and recruit, hire, retain, develop, and manage staff.
  • Excellent verbal and written communication skills are essential.
  • Strong interpersonal skills with the ability to partner and work collaboratively with clinical and administrative leadership, physician staff, and practice staff is required.
