Provides oversight and direction of the administrative activities and patient care services of the Retinal Disorders and Ophthalmic Genetics (RDOG) Division of the UCLA Department of Ophthalmology, which consist of 4 full-time faculty members and one clinical fellows. Responsible for the management of daily operations for patient care services at the JSEI including the services provided by the Visual Physiology Laboratory and the Ophthalmic Genetic Counseling Program. Provides oversight for operation of patient care facilities and associated patient service resources, including the Visual Physiology Laboratory and the Ophthalmic Genetic Counseling Program.
Responsible for the administrative and fiscal analysis of the RDOG Division, management of resources including technical and clerical personnel, physical space, and operational tools including the implementation and management of the CareConnect project. Coordinates and oversees the patient care activities of the RDOG, including: recruitment, supervision and training of staff; daily monitoring and reconciliation of patient billing and revenue generated through outpatient clinical services, including the Visual Physiology Laboratory and the Ophthalmic Genetic Counseling Program; and the development of effective administrative systems for patient appointment scheduling and the delivery of patient care. Identifies areas for improvement and creates and executes solutions to improve care delivery, efficiency and cost reduction. Develops and implements policies and procedures for the quality improvement of the Divisions while ensuring policies for the University and Department are followed, including adherence to CICARE standards.
Responsible for establishing an operational plan for efficient and cost-effective patient care services, in consultation with the Division Chiefs, and implementation of the operational plan. Assist Division Chief and RDOG faculty with establishment of a plan to expand patient care in the Division through recruitment of additional faculty members and the incorporation of new equipment and services into Division activities.
Provides program coordination of academic activities for the Divisions. Meets with Division Chief and/or designated faculty members to establish clinical education goals and priorities, sets deadlines for all activities, and assigns and supervises administrative support staff in carrying out these activities for the Divisions (medical student, resident and clinical fellow teaching; continuing medical education programs), which may include preparation of promotion materials; organization of teaching conferences; creation of resident and fellow rotation schedules; and training of new fellows with respect to administrative activities.
Recruit, hire, motivate, train and discipline clinical staff. Foster teamwork, loyalty and trust among office staff. Monitor staff performance and conduct performance evaluations. Implement office systems for monitoring and continuous improvement of efficiency, quality of work, and customer service. Supervise patient flow in clinic, and ensure that the Division provides high quality 'concierge level' patient care. Identify areas of need for clinical education of staff, and implement an education plan.
Oversee and coordinate patient surgeries and procedures including pre-operative testing, verifying patient's insurance, and obtaining pre-authorizations, counsel patients about surgery options, costs, and preparation.
Provide technical assistance to faculty, and provide back-up assistance to the front office as needed.
Must have sufficient familiarity with clinical operations to be able to provide coverage of the current AA's in the clinic during periods of absences (due to illness, vacation, leave and meal breaks). Should be sufficiently involved in day to day clinical operations to proactively identify workflow and manpower issues and to implement and assess changes in clinical activities.
Pay Range: $31.03 - 65.09
