GENERAL OVERVIEW

The Procedural Medical Assistant travels to 2 locations: Brigham Obstetrics and Gynecology Group (BOGG) at 500 Brookline Avenue, Boston and to 850 Boylston Street, Chestnut Hill.

The Procedural Medical Assistant is an autonomous professional who delivers the highest level of state-of-the art expertise in the performance of office based procedures in collaboration with the care team. S/he is responsible and accountable for the quality of care provided to the patient. The Procedural Medical Assistant participates and facilitates the direct and indirect care of patients, patient instruction, and regulatory requirements within the scope of practice and consistent with his/her education and training. Major functions include, but are not limited to, safe preparation of the instrumentation in accordance with manufacturer guidelines and hospital policies, equipment and environment for office based procedures, and independently ensuring all regulatory requirements are followed relating to equipment care and maintenance. S/he works directly under the supervision of the medical director and Practice Manager. TheProcedural Medical Assistant also serves as a resource and mentor to medical assistants in the practice.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  1. Technical expertise: Independently prepares the instrumentation, supplies and equipment required for the performance of office based procedures following practice protocols and hospital policies.

    1. Ensures that all equipment is present and in optimal operating condition. Manages maintenance needs of equipment including regular maintenance and repairs, coordinating with vendor and Practice Manager as necessary.
    2. Anticipates the needs of the patient and clinician to facilitate the smooth and timely flow of the procedure.
    3. Maintains sterility at all times; recognizes and resolves any breaks in sterile field.

  3. Performs technical skills completely and efficiently ensuring patient safety, comfort and privacy.
  4. Works with practice managers and outside vendors to ensure that equipment is available and in good working condition.
  5. Ensures that equipment and supply levels are sufficient to ensure that all office based procedures can be performed as scheduled. Proactively orders supplies, working with Practice Manager as necessary.
  6. Proactively alerts Practice Manager of needs related to equipment (new purchases, replacements and repairs)
  7. Competencies in all OB/GYN practice site procedures and MA technical skills.
  8. Rooming process: Escort patients to exam room and follow practice workflow (e.g., patient identification, initiate medication reconciliation, screening questions, vital signs) including documentation in Epic in a professional, inclusive, accurate, and enthusiastic manner. Prepare patient for procedure, explaining the procedure, ensuring that the patients concerns are addressed. Facilitate the patient's recovery from the procedure and ensure the prompt turnover of the room.
  9. Responsible resource use: Maintain cost effective use of supplies, equipment, time and other resources. Communicates needs for equipment and medical supply order/repair, and order items as needed, ensuring budget is followed. Proactively identify opportunities for efficiencies or cost savings.
  10. Sterilization: Follows manufacturer, institution, department and practice-specific protocols for instrument cleaning and sterilization and high-level disinfection. Completes annual competency requirements.
  11. Documentation: Independently maintains all necessary logs and records per established standards of care and compliance readiness. Facilitates and participates in the Universal Protocol.
  12. Ongoing Development: Attends educational programs/meetings to learn new skills and information to improve patient care. Completes annual competencies in a timely manner. Actively works with hospital infection control teams on sterilization protocols, as required. Serves as Subject Matter Expert (SME) at the discretion of the Practice Manager.
  13. Training / Mentorship: Ensure practice protocols are well documented and communicated to team. Act as a mentor to new staff members.
  14. Project Leadership/Operational Improvement: Lead and complete projects to support clinical operations. Actively identify opportunities to improve clinical workflows and implement recommendations
  15. Practice Assistant: duties which include but not limited to check in and out, insurance verification, triage phone calls, scanning, and all other administrative duties assigned.
  16. Floating: proficiencies in all OB/GYN practice sites after probation period is completed successfully. Any MA may be assigned to float to any OB/GYN practice site to fulfil operational needs and vacancies in the department up to 6 weeks at a time.

Qualifications

QUALIFICATIONS :

1. Completion of a certification program as a Medical Assistant.

2. One to five years' experience as a Medical Assistant or other comparable experience at minimum required.

3. Demonstrated ability in performance of office based procedures (e.g., hysteroscopy, colposcopy, etc.), strongly preferred.

4. Experience working in an ambulatory clinical setting with high procedure volume, preferred.

5. Experience with Epic, preferred.

6. Ability to prioritize work and meet deadlines, and work under pressure.

7. Excellent organizational and communication skills.

8. Computer knowledge required.

SKILLS AND ABILITIES REQUIRED

  • Work requires an in-depth understanding of the equipment used for office based procedures (e.g., hysteroscopy, colposcopy, etc.).
  • Must be sensitive to and supportive of patients, families and care-providers.
  • Must be able to respond quickly and purposefully to routine and unusual situations.
  • Must have ability to recognize problems, establish priorities and initiate appropriate responses.
  • Should enjoy assisting patients and be sensitive and supportive of patient concerns.
  • Demonstrates strong interpersonal skills and a mature level of courtesy, tact and professionalism required to deal with patients, management, providers and co-workers.
  • Exhibits strong communication skills and good judgment necessary to elicit information from patients and to distinguish emergent, urgent and routine problems.
  • Must work as a team player and be an effective mentor.
  • Follow HIPAA guidelines for the management of patient privacy and confidentiality
  • Demonstrates effective oral communication skills in English. Communicates in a professional, courteous, clear, and concise manner. Facilitates therapeutic relationships between patients, families and other members of the health care team
  • Ability to manage work in a neat and systematic way. Ability to manage multiple tasks effectively, appropriately prioritize clinical work, follow established policies, procedures and clinical practice guidelines and workflows
  • Demonstrates ability to utilize technology in the clinical setting. Includes basic computer skills as well as the utilization of electronic medical equipment. Ability to type accurately and enter data at an intermediate level. Ability to become proficient in using the EHR and other appropriate applications. Ability to utilize hand-held technology and download related data to the electronic health record.
