The role you'll contribute:

The IT Procurement Controls Analyst, Intermediate is responsible for the acquisition of IT and Telecom software and hardware purchases for all assigned entities, as well as for IT projects and IT inventory in a timely manner and according to service level agreements. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

• Manages the complexity of a fast-paced procurement environment, which requires the ability to support multiple facilities and their diverse technical procurement requirements simultaneously.

• Provides high-level customer service to customers as well as AIT partners. Responds to emails and phone calls from vendors and customers, interacts with various employees to keep orders moving smoothly.

• Performs processing of purchasing requests while ensuring selected vendors, quotes, and contracts are being used and that information is up to date. Attention to detail is important to ensure only standard and approved part numbers are ordered.

• Creates capital or operational requisitions in ERP system using punchout or speciality requisition, as appropriate. Creates or requests vendor quotes when necessary and ensure quotes are referenced for associated orders.

• Generates and provides product quotations with pricing as requested by customers and AIT partners.

• Communicates with vendors for quote requests and to resolve issues associated with delivery timelines, backorders, return requests, etc.

• Works with department seniors to process and submits inter-department fund transfer requests to Accounting for IT equipment when necessary.

• Routinely reviews the current product list including part numbers and pricing to ensure the correct item is ordered and all information is entered in the designated tracking system.

• Reviews requested products and strategies to ensure purchase requests align with AdventHealth standards. Obtains proper approval when/if purchase request would deviate from standards.

• Works closely with customers to make recommendations for software and/or hardware selection, providing accurate pre-purchase technical analysis on PC-related hardware, software, and network infrastructure.

• Handles returns good requests in a prompt and appropriate manner. Acts as liaison between the purchasing department leadership, Inventory personnel, customer, and vendor accordingly.

• Recognizes the need for possible escalation of requests and asks for assistance with escalations when necessary.

• Enters orders for IT projects accurately and in a timely manner, ensuring proper pre-approval processes have been completed prior to entering the requisition(s).

• Enters requisitions for replenishment of IT Procurement break/fix and advancing inventory (ordering from multiple vendors).

• Purchases mobile phones/MiFi and service for approved situations. Performs telecoms billing activities including cost analysis and undertakes account audit.

• Provides on the job training for new associates and other team members.

• Performs other duties as assigned or directed to ensure smooth and efficient operation of the AIT department and in order to comply with AdventHealth policies and procedures.

Qualifications
The expertise and experiences you'll need to succeed :

EDUCATION AND EXPERIENCE REQUIRED:

• Bachelor's degree or equivalent degree from a four-year accredited university or college OR five years of related experience in a Procurement, Supply Chain, Information Technology, or related role

• Experience with purchase order systems.

• Must have proven critical thinking skills and extensive organizational skills while possessing the ability to manage multiple priorities within a fast paced environment.
