What You Will Do

High Performance Computing (HPC) is looking for a motivated, customer service focused, and experienced individual to provide professional business and program support to the High Performance Computing Division's Platform Office (HPC-3PO). You must be an excellent problem-solver and be able to anticipate challenges and obstacles and tactfully resolve them while providing high-level professional program administrative support to the HPC Platforms Program Director. While executing your responsibilities, you will consistently maintain a professional office atmosphere, demonstrating attention to detail and accuracy, initiative, versatility, tact, and confidentiality. The incumbent will work closely with the HPC-DO Platforms Program Director, ASC CSSE Program Manager, and HPC division management staff in creating a team environment marked by close cooperation, adaptability, and a willingness to provide business expertise in the areas of budget, project management, procurement, and overall business acumen. You will provide assistance on these matters and will be responsible for managing and delivering on multiple business tasks that consist of: coordination of a variety of deliverables that require strong problem solving abilities with stakeholders both internal and external to LANL, specialized reporting, tracking, and managing cash flow, and tracking complex procurement contracts.

The successful candidate will:
  • Aid in project planning, including interaction with a variety of sponsors, program offices, vendors, and project leaders.
  • Assist in establishing protocol among multiple programs and project leaders to establish best practices and facilitate integration across programs and line organizations with respect to budgetary planning and tracking.
  • Track, coordinate and resolve complex issues requiring engagement with multiple LANL organizations, guided by an understanding of each programs' priorities, objectives, and timelines.
  • Work closely with the Program Director, financial staff, and applicable program offices to compile and manage multiple specialized reports for a variety of sponsors to include scope, schedule and budget.
  • Analyze and assemble technical data in support of program objectives.
  • Establish and manage a variety of tasks and contracts with vendors that collaborate on HPC project, the NNSA tri-lab, and NNSA HQ.
  • Independently compose a variety of specialized reports working closely with the Program Director, finance, procurement, and/or NNSA.

Minimum Job Requirements:


Administrative Support

Advanced-level experience providing high-level administrative support in a busy office environment requiring complex calendar management, procurement, meeting scheduling/ logistics (including large-scale events), visitor processing, accurate data entry and tracking, report generation, and budget management.

Advanced experience with solving problems, developing and implementing solutions, and innovating business practices to ensure customer satisfaction at all levels.

Organization and Time Management

Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment.

Experience working with sensitive business and personnel related information.

Demonstrated record of dependability, availability, attendance, and punctuality and handling sensitive information.

Business Systems

Expert-level knowledge and experience with the Microsoft Office Suite (particularly with Outlook, Excel, and Word) and with Oracle business systems.

Ability to independently interpret data and information from a variety of sources and coalesce them into executive reports.

Communication

Excellent interpersonal, verbal and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities are required at this level.

Ability and experience developing, maintaining, and strengthening partnerships with internal and external personnel, including networking with key contacts that comprises a variety of professional expertise.

Advanced experience preparing formal correspondence documents, presentations and newsletters with considerable responsibility towards content while ensuring accuracy and attention to detail.

Leadership

Demonstrated mentoring and teaming skills. Utilization of tact, diplomacy and discretion in dealing with sensitive and in-confidence information.

Demonstrated ability to work well as a team player, strong customer and interpersonal skills and a record of dealing effectively with challenging interpersonal situations.

Demonstrated ability to calmly manage interruptions and changing priorities; to complete assignments with or without established procedures; and be available and dependable.

Proven skills and experience in conducting research, investigating alternatives, and recommending solutions on business operations.

Desired Qualifications:

HPC Experience

Knowledge of the laboratory mission and how ALDSCT supports the mission; knowledge of Laboratory structure and administrative policies and procedures.

LANL Experience

Knowledge of Laboratory's financial concepts, cost models, principles and reporting.

Knowledge of Laboratory's organizational structure and policies, practices and procedures.

Knowledge of Laboratory subcontract policies and procedures.

Project Management Experience

Knowledge of project management activities such as planning, budgeting and performance measurement.

Clearance

Applicants must currently hold, or have the ability to obtain a Q clearance, which normally requires U.S. citizenship.

Education

Position requires a Bachelor's Degree and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation.

Work Location :

This position will be located in Los Alamos, NM. with the potential for teleworking from a location within 2 hours ground commute of this location. Reporting onsite will be periodically required. Telework is at the discretion of management and can change at any time with appropriate notice.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 . Clearance: Q (Position will be cleared to this level).
