The Program Administrator is responsible for providing a combination of administrative, recruitment, event coordination, logistical, and budget management in support of Office for URaCE programs, services, and initiatives.

Duties and Responsibilities:

  • Day-to-Day Operations- This position is responsible for the day-to-day activity management of Office for URaCE programs, events, and initiatives. Duties include consulting with and advising program participants (student and faculty); preparing program materials and reports; collecting and analyzing program data; managing student records; coordinating student and faculty payments; monitoring program documents progress for completion and record retention; interpreting, implementing, and ensuring compliance with applicable policies according to professional, system, and university standards; consulting, advising, and providing guidance to staff, students, and campus personnel; performing continuous program assessment to ensure requirements are met; managing program databases.


  • Event Coordination- Coordinates and manages unit events including conferences, workshops, symposia, and panels. Duties include managing event planning and activities; coordinating event registration; securing event space; managing payments and purchases; coordinating vendors; advising event participants; coordinating agendas and published materials; hiring and supervising event staff; managing event budgets; coordinating with internal and external partners to publicize and recruit participants; creating and disseminating communications and program information on a variety of platforms; preparing and submitting reports; managing event databases.


  • Budget Management- This position is responsible for maintaining all unit budgetary records and using the University accounting system to monitor budgets, track payments, research payment history, and rectify errors, and assists with preparing annual budget requests. This position also maintains and generates monthly Procurement Card reconciliations for the unit and programs in accounting systems and maintains files; prepares all budget processes which include T-4's, Transfer Vouchers, Travel documents and Facility receipts; serves on Search Committees as Hiring Administrator; and maintains and submits annual RTR Folders as required.

Knowledge, Skills, and Abilities Needed:

  • Knowledge of postsecondary institutions and how they function
  • Knowledge of concepts related to student success, High Impact Practices, and undergraduate education
  • Ability to establish and maintain strong positive working relationships/collaborations with a variety of constituencies including students, faculty, university, and community partners
  • Ability to simultaneously manage multiple projects/initiatives/tasks with significant attention to detail
  • Proficient with various Microsoft (Word, Excel, PowerPoint, Outlook), and Google software platforms
  • Familiarity with IRIS, the university branded enterprise resource planning system providing financial, human resources, payroll, procurement, and budgeting functionality across all UT campuses and institutes; Banner (Enterprise Resource Planning) system including Banner Student; Symposium by ForagerOne online conference tool; Calendly scheduling tool; Qualtrics online survey builder; Microsoft SharePoint; Campus Labs


Minimum Qualifications

  • High school diploma or GED and five years of relevant experience, with at least two years of experience working in higher education administration (unit, departmental support position); or an equivalent combination of education, training, and experience.


Preferred Qualifications

  • Bachelor's and/or master's degree or equivalent experience. Advanced knowledge of UT software systems including IRIS/SAP, Banner, Concur, campus Labs.
