Position Description

Advertised Job Summary
The program assistant supports the organization and delivery of the programs and services of the Center for Teaching Excellence. This position reports to the Program Manager of Operations and Faculty Events. The position assists with and coordinates professional development activities for CTE clientele, which includes faculty, instructors, and graduate teaching assistants. This position handles CTE purchasing, procurement, and travel reimbursements and meets regularly with the Director and Administrative Coordinator to discuss spending and projections. This position also provides program development and administrative support for CTE staff.
Minimum Qualifications
Bachelor's degree, or high school diploma and 4 years of related program experience.
Preferred Qualifications
Bachelor's degree and two years of relevant program experience in higher education; experience with purchasing; familiarity with Peoplesoft software system; excellent interpersonal and communication skills.
Knowledge/Skills/Abilities
Must be detail oriented and able to handle multiple concurrent tasks and frequent interruptions. Must be confident as well as conscientious and personable. Must have outstanding human relations characteristics and enjoy contact with university faculty, officials, staff, and students. Must be proficient in Microsoft Office software and have the ability to learn USC's computer systems for fiscal management.

Job Duties

Job Duty
Serve as the initial contact person for the clientele of the CTE . Monitor CTE phone, mail, and email. Greet and provide up-to-date information about CTE programs and services to walk-in, phone, and email clientele.
Essential Function Yes Percentage of Time 30 Job Duty
Assist with planning, scheduling, and delivery of CTE programs and services. Coordinate event registration, meeting times, and speaker arrangements. Prepare evaluation forms, signs, thank-you letters, and handouts as needed. Set up facility and refreshments for events, greet attendees, and assist with event preparations.
Essential Function Yes Percentage of Time 30 Job Duty
Perform departmental purchasing and payments, including travel-related expenditures and foundation account expenditures. Meet with Director and Administrative Coordinator to discuss spending and projections related to purchasing, travel and the foundation account.
Essential Function Yes Percentage of Time 10 Job Duty
Provide administrative support to CTE staff and senior staff. Create the agenda template and record meeting minutes for staff meetings. Assist in preparing administrative documents related to CTE events; assist with distribution and collection of event evaluation surveys, Certificates of Completion and other program data.
Essential Function Yes Percentage of Time 20 Job Duty
Assist in program management for annual events like New Faculty Orientation, Oktoberbest and Spring Symposiums. Tasks including sending notifications to applicants, coordinating registrations, liaising with catering, and managing post-event evaluations.
