Housing & Food Services (HFS) provides on-campus housing to over 10,000 student residents and operates over 40 dining and café locations that serve the entire campus community. DUTIES AND RESPONSIBILITIES

The Program Assistant (NE S SEIU 925 Non Supv) will provide program operational support to leadership team and three campus locations.

  • Act as point of contact for general support to Pagliacci, unit employees, internal and external customers, vendors, etc.

  • Document, implement, interpret, and communicate procedures, work methods, forms, schedules, and job priorities to meet the business needs of the leadership team.

  • Communicate program-specific policies and procedures to employees, customers, and guests.

  • Under the direction of General Manager, support student employment processes by assisting with orientation, training, and scheduling functions.

  • Ensure that appropriate files, records, and databases are maintained.

  • Update Pagliacci sales tracker daily.

  • Coordinate catering orders with unit leadership ensure that transfers or payment has been processed, point of contact for customers.

  • Consult with leadership team to ensure that weekly inventory, transfers and over production and purchasing is completed each week.

  • Coordinate the activities of the unit including the development, preparation and maintenance of departmental records, databases, statements of income and expenditures and summaries of departmental operation.

  • Develop and prepare reports upon request, including activity reports for labor, accounts payable and/ Pagliacci menu management.

  • Use various systems including inventory and menu management systems (CBORD), point of sale systems document management systems.

  • Take inventory counts using tally sheets from CBORD FSS system.

  • Update signage, including menu and pricing boards, ensure that Maegan is updated as needed.

  • Act as liaison to other Housing & Food Services areas; resolve problems that arise between staff and both internal and external customers.

  • Act as a liaison between Computing Services and Food Services computer users and assist with troubleshooting software problems and referring hardware malfunctions as necessary.

  • Consult with manager regarding staffing needs and support hiring, training, and evaluation processes.

  • With direction from manager, schedule coverage for open shifts, track, and document student attendance, and follow up directly with students as needed.

  • Track progress of new student and classified employees to ensure they have completed all necessary UW compliance training and have had Pagliacci overview and training.

  • Provide coverage in absence of support staff, including placing orders.

  • May order, receive, and handle perishable foods.

  • Seek continuous improvements in office support activities.

  • May direct the work of student/hourly staff.

  • Perform related duties as required.

    MINIMUM REQUIREMENTS

  • High school graduation or equivalent AND Two years of clerical experience OR equivalent experience.

    DESIRED REQUIREMENTS

  • One year of experience that demonstrates working knowledge of a food production and service operation including receipt and handling of perishable foods, experience receiving goods and services from external customers, filling schedules and maintaining recipe and menu databases.

    CONDITIONS OF EMPLOYMENT

  • A satisfactory outcome from employment verification and reference check processes is required prior to hire.

  • Maintenance of a valid Washington State Food Worker Card within two weeks of employment.
