The University of Minnesota Foundation (UMF) is a key partner with the University in building and sustaining excellence among students and faculty and fueling discovery in important areas. Of the research that takes place in the medical enterprise, 25% is for children's health; 33% is for cancer. The Program Coordinator is responsible for the operational and
administrative management of UMF's Cancer and Children's Health teams including implementing and managing a development strategy that deepens engagement with key
stakeholders including Cancer Philanthropic Board and Children's Health Philanthropic board members comprised of C-suite leaders and University of Minnesota Board of Trustees, and secures support for Medicine and Health priorities. This position also represents the UMF on multiple priority cross-functional projects across the Med/Health team including Office of Academic Clinical Affairs (OACA), Medical School, and M Health Fairview and is responsible for providing project management, organizational leadership and donor support for fundraising initiatives in Med/Health. In addition to the Lead Development Officer, Cancer and Children's Health and Director of Development, Children's Health, this position works directly with personnel across Med/Health and UMF including advancement services, IS, finance, central development, and marketing and communications programs, as appropriate, to ensure cohesive, organized fundraising-related activities and messaging.

Starting salary: $55,000- 65,000 based on experience.

Responsibilities:

Program and Project Coordination (75%)
  • Serve as the liaison between UMF leadership and M Health Fairview Masonic Children's Hospital Philanthropic Board and Executive Committee as well as the Cancer Philanthropic Board and its Executive Committee. Schedule and execute all quarterly philanthropic board-related events and meetings, which include coordination of logistics, preparation of presentation and materials, and all communication to board members.
  • Partner with Development Officers to advance prospects and donors through the gift continuum by assisting with donor outreach and engagement efforts.
  • Coordinate meetings with donors and Presidential Requests, Faculty, Medical School, M Health Fairview System, Department of Pediatrics, OACA, and UMF, and University leadership.
  • Support onsite culture of philanthropy activities that contribute towards the development strategy which includes fostering donor engagement, organizing fundraising events, building community partnerships, and promoting internal collaboration to achieve fundraising goals.
  • Assist development officers across Medicine and Health unit with hospital events and special events, tours, and programming, including planning, request forms, hospital coordination, attend and/or manage those events.
  • Serve as the point of contact for all inquiries related to Children's Health and Cancer. This includes communicating directly with leadership, faculty, and staff across the University, M Health Fairview, and the external community.
  • Secure, provide, and manage protected health information (PHI) and confidential board information for development programs and activities.
  • Schedule complex meetings and coordinate calendars; prepare and edit correspondence and mailing lists.
  • Handle complex communication on behalf of the unit and serve as a liaison across the M Health system, including the UMN Medical School, UMP, and Fairview with clinical staff and departmental divisions

Reporting and Information Management (15%)
  • Oversee departmental activities, budget, and data reporting and tracking. Request and manage information from Donor Management System (DMS), and serve as development liaison to the information technology department. Request ad hoc queries and utilize information appropriately in support of unit activities.
  • Analyze data associated with fundraising, metrics, budgets, and fund administration by tracking, compiling, and assessing necessary development reports.
  • Manages the gift-acknowledgement process and writes customized letters to donors as needed.

Office Management and Support (10%)
  • Collaborate and work with all members of the Med/Health development team; supports the administration and day-to-day workflow operation and organization of the Children's Health and Cancer development teams as assigned.
  • Electronic calendaring and resolution of scheduling conflicts.
  • Independently manages projects as needed to meet team needs, including coordination of internal and external stakeholders to ensure projects are completed successfully, accurately and on time.
  • Assists in managing the budget and complex requisitions and vendor payments; submits expense reports and invoices.
  • Other duties and responsibilities as assigned.

Qualifications

Required Qualifications:
  • Bachelor's degree or a combination of education and administrative and/or project management experience to equal four years.
  • Executive-level administrative and/or project management experience.
  • Ability to maintain highly confidential data and comply with PHI and HIPAA policies.
  • Ability to travel as needed, including throughout the campus and local twin cities.
  • Attention to detail and ability to perform with competence in high-pressure situations and a rapidly changing environment, to multitask and work independently, meet deadlines, prioritize office work, and coordinate with others.
  • Proficiency with Google Suite and Microsoft Office software (Excel, Access, PowerPoint) including spreadsheet and database applications, database creation and use, advanced word-processing and presentation creation.
  • Proficiency in databases including searching, running queries, and analysis.
  • Excellent written and verbal communication skills. Advanced level grammar, spelling, and punctuation skills.

Preferred Qualifications:
  • Knowledge of University procedures and systems include DMS database, query requests, gift transmittals, event management, and financial reporting.
  • Demonstrated knowledge of development/fundraising or business operations/marketing terminology and procedures.
