About the Opportunity

The purpose of this position is to provide support for the functioning of the Appalachian Forestry Entrepreneurship Center (AFEC), including support in grant preparation and reporting for proposals associated with the efforts of the Center and the interaction of the Center with individuals and organizations both internal and external to WVU. The position may also provide grant services, including project management and other administrative support to the West Virginia University (WVU) Davis College of Agriculture, Natural Resources and Design (College) for projects related to the AFEC's mission.

This position serves as a resource contact for the Center, and the incumbent must independently use professional concepts, techniques, and organizational policies to solve a wide range of moderate to complex problems in imaginative and practical ways. Demonstration of skills, knowledge, interpretive abilities, and some creativity are required to perform duties successfully. Work effort often addresses non-routine matters within established protocols, guidelines, or policies. Work effort significantly impacts client services and operations, producing moderate to significant organizational, legal, and financial results or liabilities. Position duties may require oversight of projects or programs, including coordinating work by others supporting primary program objectives.

What you'll do:

  • Assist with project management, including developing charts and visual aids to track and summarize progress and writing annual reports.

    Performs data analysis and evaluation on compiled data, protocols, and surveys concerning enacted AFEC programs to enhance the minority student population in STEM disciplines and overall student recruitment and retention.
  • Assist faculty with their responsibilities for completing compliance documents, reporting, and export control issues.
  • Collaborate with center members to include all faculty, PIs, and external sources to review and edit scientific abstracts/presentations, protocols, publications, and grant proposals.
  • Develop and use databases, spreadsheets, and project management systems to record, store, and analyze investigator information.
  • Compile data and prepare papers concerning AFEC initiatives, student recruitment, and retention for consideration and presentation by executives, committees, and the Center Director.
  • Post-award budget management, including but not limited to coordinating subcontracts and sub-award calculations with other institutions and departments.
  • Understand customers' needs and take action to ensure that needs are met.
  • Collaborate with other programs and colleagues as necessary to meet customer requirements or minimize adverse impacts on the organization in the case of shortcomings.
  • Read and analyze incoming requests, memos, submissions, and reports to determine their significance and plan their distribution.
  • Organize meetings and teleconferences and attend meetings to record minutes.
  • Respond to inquiries or direct calls, emails, etc., to appropriate contact.
  • Purchase support and process of required paperwork.
  • Set up and maintain paper and electronic filing systems for records and correspondence.
  • Perform outreach, networking, and recruiting activities on and off campus to support the program.
  • Provide technical assistance and support for center faculty and researchers in identifying, developing, and presenting funding opportunities.
  • Develop regular grants listserv announcements to be distributed to AFEC members and researchers.
  • Create one-page synopses, proposal content documents, proposal templates, and other documents to assist with the proposal development.
  • Prepare and submit research proposal packages for foundation, industry, state, and federal grant opportunities.
  • Interpret funding opportunity announcements, organize collaborative groups, and prepare proposals and budgets based on agency requirements and OMB circulars.
  • Complete forms, compile biographical sketches and other supporting documents, and upload these documents to internal and external submission sites.
  • Assist with post-award project management and assure compliance with federal, state, and sponsor guidelines.
  • Track project deadlines and facilitating submission of reporting deliverables, including developing charts and other visual aids to track and summarize progress and assist with writing quarterly, semi-annual, annual, and final project reports, as appropriate.
  • Maintain files, data, and other documentation necessary for project management and reporting, including developing and using databases, spreadsheets, and project management systems to record, store, and analyze project information.


Qualifications

  • Master's degree or Bachelor's degree and equivalent applicable experience with exposure to forestry, entrepreneurship, and related sciences with fundamental concepts and terminology
  • Three (3) years of progressively responsible and related experience in proposal development and submission, external funding agencies, and project management. Or An equivalent combination of education and experience.
  • Demonstrated organizational skills to plan and prioritize tasks.
  • Excellent communication skills (oral, telephone, written, face-to-face) and ability to perform professionally in various settings and with individuals of various backgrounds and skill levels.
  • Ability to manage multiple ongoing projects with appropriate attention to detail.
  • Effective public speaking skills.
  • Skilled in the proficient use of computers, including spreadsheets, word processing, web-based survey and presentation programs, and file management.
  • Ability to present findings graphically, including in tables and charts.
  • Ability to work effectively with diverse levels of individuals, such as administration, faculty, staff, office personnel, funding agency representatives, and vendors.
  • Ability to work independently with limited supervision.
  • Ability to problem-solve, reconcile differences, and resolve last-minute crises successfully.
  • Ability to organize information, to reach conclusions, and to compose reports.
  • Ability to meet deadlines.
  • Ability to communicate in English using proper grammar, sentence structure, and punctuation.
