The Osher Center for Integrative Medicine off BWH 900 Commonwealth Ave is jointly based at Brigham and Women's Hospital and Harvard Medical in Boston, MA.

School. The Center works to combine research, education and clinical care in moving medicine towards a new model of

wellness that recognizes the interconnections of the body, mind and spirit to enhance resilience and promote health and

healing.

This position is a key function that supports the fulfilment of the Osher Center's mission, combining administrative

acumen with creative communications. The Program Coordinator is responsible for executing event management and

marketing and providing administrative support for the Center. Reporting to, and working in collaboration with the Senior

Program Manager, the Program Coordinator will coordinate the Osher monthly Grand Rounds events; support the delivery

of annual/biennial conferences; manage and coordinate the Osher Center website(s); create and distribute the monthly

Osher newsletter; and liaise with the Division of Preventive Medicine secretarial staff to execute related administrative

tasks. Additionally, they will take on ad-hoc tasks and assignments to promote the Center's mission and activities and

support the Directors as required. The Program Coordinator must be able to commute to the office on a daily basis a

needed, with the potential to work on a hybrid remote/on-site schedule. Based on performance, subject matter interest

and expertise accrued over time, the position offers the potential to grow with the Osher Center.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Working in collaboration with, and under minimal supervision from the Program Manager, the Project Coordinator will:

- Coordinate and execute monthly Grand Rounds including communications, pre-and post-event administration, marketing

and event management.

- Assist with event planning, marketing and execution of seminars, symposia and community lectures offered by the Osher

Center.

- Maintain and optimize the OsherCenter.org website by creating regular blog posts, and ensuring the website is both

functioning and current; suggest improvements to the Senior Program Manager and work with the web hosting company

to implement updates.

- Coordinate BWH Osher website updates with the Osher Clinical Center (different from the OsherCenter.org website,

above), including monitoring and updating the website on a regular basis.

- Source and suggest newsworthy items, create monthly newsletter content, and update newsletter design as necessary.

- Maintain and help build the Osher Center mailing list to support targeted email marketing campaigns and

communications.

- Work with other departments and institutions to facilitate cross-promotional marketing.

- Create, schedule and manage social media postings across Osher Center social media platforms (e.g. Facebook, Twitter,

Instagram, YouTube and LinkedIn)

- Support the development and delivery of new engagement platforms for Osher Center newsletter readers, website

visitors and collaborative networks e.g. podcast series.

- Record metrics for website traffic, newsletter statistics, and social media activity.

- Work with Osher Research Assistants to support and maintain the Osher Exaptive online integrative medicine network

maps including updates, and managing the administrative interface.

- Work in partnership with the Senior Program Manager to identify, develop and maintain resources supporting new

planetary health initiatives.

- Support the Senior Program Manager in administering the Osher Pilot Research Award program.

- Coordinate with the Division of Preventive Medicine Grants Manager for the creation, submission and monitoring of

purchase orders, invoices and vendor agreements pertaining to Osher Center research programs as needed.

- Coordinate with the Division of Preventive Medicine secretarial support in scheduling Osher Center meetings, creating

packets for meetings and presentations and ordering office supplies.

- Assist in the development of brochures, newsletters and annual report

- Support other document development activities including research publications, presentation materials and manuscripts,

including creating bibliographies, sourcing curriculum vitae and biosketches, formatting project budgets, proofreading

manuscripts, and helping create and edit presentation materials.

- Collect, organize and maintain Osher Center program metrics for annual report and other reports and presentations.

- In coordination with the Senior Program Manager, maintain organization of office information systems, both paper-based

and electronically via shared network and cloud-based platforms.

- Provide routine administrative support such as meeting scheduling and minute taking at Osher leadership and relevant

committee meetings.

- Monitor Osher Center email inbox, respond to email inquiries in a timely fashion, and delegate inquiries to Senior

Program Manager and/or Directors as necessary.

- Assist with training and orienting staff and students as needed.

- Assist with special projects and other duties as needed.

Qualifications

Qualifications

- Minimum of Bachelor's Degree.

- Minimum of 2-3 years relevant work experience in a combination of marketing, event management and administrative or

academic research support roles.

- Some experience interfacing with accounts payable departments preferred.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

- Mature individual, with excellent written and verbal communication skills and sensitivity to working in an academic

environment.

- IT-literate, comfortable with online marketing, social media and website content management, and interest in supporting

additional engagement platforms e.g. podcasts.

- Comfort/familiarity working with accounts payable departments.

- Attention to detail.

- Ability to manage and prioritize multiple tasks effectively.

- Good team player.

- An active interest in, and preferably demonstrated exposure to integrative medicine, with a desire to pursue a career in

service to integrative medicine.
