Manages the day-to-day operations of a large university program or department, including the supervision of staff employees, student workers, programs or processes.
  1. Plans and develops procedures for administering a large or complex department or program.
  2. Manages fiscal activities, including procurement and budget analysis.
  3. Provides guidance to subordinate staff and evaluates performance.
  4. Prepares abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
  5. Creates and reviews reports of expenditures and activities.
  6. May administer grants and grant-related related communications, scholarships and other operations.
  7. Develops, implements and maintains appropriate policies and procedures.
  8. May serve as property custodian for the department.
  9. Performs other job-related duties as assigned.


Additional job posting information:

This position will be supporting the Hilton University of Houston General Manager, as well as other directors as needed within the hotel. This position will assist with meeting coordination, travel arrangements, purchasing, and other support needs. The role requires strong organizational skills, attention to detail, excellent communication abilities, and the ability to multitask effectively. Professionalism, communication, and promptness is required. This includes prioritizing requests and managing conflicts.

Additional job duties may include:
  • Serve as the procurement coordinator and P-card holder for the Hilton University of Houston hotel.
  • Purchases office, administrative supplies, and equipment for the Hilton University of Houston hotel.
  • Process travel request and reimbursement vouchers for Hilton University of Houston hotel staff.
  • Process vouchers to pay for invoices related to the Hilton University of Houston hotel.
  • Training Hilton University of Houston hotel staff and faculty on mandated Hilton corporate courses both facilitating and to ensure Hotel is in compliance for random Hilton audits.
  • Holding staff and faculty accountable for non-compliance.
  • Training Hilton University hotel and staff on Hotel specific policies including but not limited to life safety.
  • Monitoring of access to Hilton systems by Staff and Faculty
  • All Documentation tracking for Hilton inspections including but not limited to Life Safety inspections, guest room deep cleaning requirement tracking, guest room preventative maintenance requirement tracking, CPR certification tracking.

Qualifications

Bachelors and 1 year experience

Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of one (1) year of directly job-related experience. Certification/Licensing: None.

Preferred job qualifications:
  • Experience in higher education and hospitality.
  • Experience working with Hilton Hotels OnQ PMS software, Hilton Stay Experience Software, Hilton Boss software, Hilton Operational Reporting, GoHilton Management software, and Hilton ID Management.
  • Experience with PeopleSoft.
  • Experience with UH policies regarding purchasing, contracts, and travel.
  • Experience with Citibank GCMS procurement card expense reports.
  • Knowledge of Hilton Hotels, UH, and Conrad N. Hilton College policies and procedures.
