Department-Specific Responsibilities
  • Manages all aspects of medium to large projects for the Office of the Vice Provost for Finance, Administration, and Budget.
  • Coordinates and facilitates efforts of cross-campus project teams.
  • Collaboratively plans training and workshops with key campus partners.
  • Exercises diplomacy, tact, and judgment in interacting with a wide range of campus and university constituents.
  • Demonstrates appropriate discretion, and sound judgment in all projects and ensure applicable university information, data, transactions, and communications maintain appropriate levels of confidentiality.
  • Works with executive level leadership on campus as well as visiting dignitaries.
  • Manages a dynamic and complex calendar for the Vice Provost for Finance and Administration; requires a strong understanding of the campus, key priorities, and strategic projects to ensure the executive is spending time in the most effective and impactful ways.
  • Ensures conflicting meetings are resolved in a timely manner and appropriate parties are involved to ensure that meeting outcomes are met.
  • Plans and manages all aspects of training events for the office, including logistics, information collection, communications, hospitality, travel, post-event assessments, and all other tasks as needed for a successful event.
  • Works collaboratively with campus partners to plan training events as appropriate.
  • Manages complex and large amounts of data for projects when needed; presents data and findings in digestible format for leadership review.
  • Develops project plans, analyzes project outcomes and data, and tracks, forecasts, and reports on project metrics and shortfalls.
  • Creatively resolves challenges and removes barriers as needed to ensure optimal project outcomes.
  • Communicates project updates in tasks, goals, and performance to VPFA and project partners.
  • Helps coordinate workflows and time management for projects.
  • Supports the Director of Strategic Initiatives and other team members as needed.
General Responsibilities
  • Manages medium to large projects, from start to finish, ensuring on time completion within budget.
  • Develops project plan(s) and efficiently analyzes, tracks, forecasts, and reports on project metrics and shortfalls.
  • Coordinates and facilitates efforts of project team(s) consisting of various staff and hourly employees.
  • Communicates ongoing changes in tasks, goals, or performance.
  • Collaborates to ensure that project objectives are achieved within established time frames.
  • Participates in client meetings, vendor/contract decisions, and development of project requirements and specifications.
  • May provide guidance and support to less experienced peers.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
