The Prosthodontics Program/Project Specialist reports to the Division of Prosthodontics Administrative Supervisor and supports the efforts of the Division of Prosthodontics and the preclinic. This position assists Department faculty and School of Dentistry students by performing course support, providing Division of Prosthodontics administrative support, and providing preclinic administrative support. This position works collaboratively with the Restorative Sciences administrative staff team to support the needs and goals of the Division of Prosthodontics and Department of Restorative Sciences. This position embraces new technology, analyzes data and makes recommendations for improved program processes.

The full salary range for this position is $24.07-$35.41.

Schedule: M-Th 8-4:30 in person, Friday 8-4:30 remote

Responsibilities

Course Support (50%)
• Garner and utilize input from course directors to develop workflows for course management.
• Provide course support for preclinical didactic and laboratory courses in the Division of Prosthodontics. This includes creating course sites, preparing exams and quizzes, and updating content in the university-based learning management system.
• Communicate with students regarding grades, system questions, course information, registration, and permissions.
• Track student progress and assist with the set up of grade books and rubrics. Record, calculate, monitor, and distribute preclinical grades. Post grades and communicate to the Registrar via PeopleSoft in accordance with School of Dentistry policy and deadlines.
• Ensure a welcoming environment and provide customer service for students, residents, faculty and staff by handling communication with professionalism and timeliness.
• Maintain file storage, electronic and physical, in compliance with the UMN Records Retention Policy.
• Identify, analyze, and make recommendations to improve inefficiencies and effectiveness of operations to best align with overall department goals.
• Perform other duties as assigned by the Division Administrative Supervisor.

Division of Prosthodontics Administrative Support (30%)
• Provide administrative support for the Division of Prosthodontics.
• Support the hiring, onboarding, and orientation of faculty in the Division of Prosthodontics.
• Maintain the preclinic faculty coverage schedule. Communicate faculty coverage changes to the Division Director and course directors.
• Act as a financial preparer and order supplies and equipment via purchase orders, UMarket, and University Purchasing Card in accordance with University policy.
• Attend and participate in all applicable Department and Division administrative meetings.
• Cross-train with administrators across the Department to provide support to others during
absences so that business will continue as usual in all Department areas.
• Supervise one to three student workers.
• Identify, analyze, and make recommendations to improve inefficiencies and effectiveness of operations to best align with overall department goals.
• Perform other duties as assigned by the Division Administrative Supervisor.

Preclinic Administrative Support (20%)
• Provide administrative support for the Preclinical Director.
• Ensure effective management of administrative support service processes for optimal service delivery.
• Act as financial preparer by ordering preclinic office supplies and office equipment in accordance with University policy.
• Ensure that all business processes interface appropriately with university systems and support services.
• Coordinate operational scheduling for courses.
• Assure faculty are informed and prepared for planned changes in services, programs, processes and systems.
• Identify, analyze, and make recommendations to improve inefficiencies and effectiveness of operations to best align with overall department goals.

Qualifications

Required Qualifications
• High School diploma/GED and five year related experience to include project management. Coursework in a related field may substitute for some years of experience.
• Demonstrated competency with Google Workspace applications and Microsoft Office applications.
• Interpersonal skills, including the ability to communicate in an effective, positive, and professional manner.
• Demonstrated experience in oral and written communication, writing clear, concise letters or e-mail messages with accurate spelling, punctuation, and grammar.
• Applies knowledge and skill to a recurring task or activity with emphasis on precision and timeliness of execution.
• Proven history of reliable attendance and punctuality.

Preferred Qualifications
• Experience working in a higher education environment
• Demonstrated experience managing projects, showing initiative, and meeting deadlines.
• Experience with organizational finances, including purchasing, expense reports, and budgeting.
• Advanced computer skills, including spreadsheet development and maintenance using Excel and web database reporting.
• Experience managing and prioritizing multiple tasks and working both independently and as part of a team.
• Ability to use informed judgment to resolve problems autonomously and address questions from students and faculty.
• Ability to take initiative, successfully problem-solve and able to work independently.
• Ability to remain calm in stressful or difficult situations.
• Ability to work in an environment with multiple interruptions
• The duties will require some light to moderate lifting as well as walking and standing for long periods of time, and an early evening may be needed occasionally for meeting attendance.
• Successful experience working with diverse student, faculty, and staff populations.

About the Department

The University of Minnesota School of Dentistry is the state's only dental school and the only dental school in the northern tier of states between Wisconsin and the Pacific Northwest. We are a regional resource to five states for dental education, consulting services, patient treatment, and ongoing continuing dental education.

We educate dentists, dental specialists, dental therapists, dental hygienists, dental educators and research-scientists. We offer advanced degree programs in seven ADA-recognized specialties: endodontics, oral and maxillofacial surgery, orthodontics, pediatric dentistry, periodontics, prosthodontics and TMD and orofacial pain. We educate scholars in oral biology, dental hygiene and oral health for older adults. Dentists from other countries who wish to practice in the United States matriculate through our Program for Advanced Standing Students. Learners have the option to pursue a Masters in Public Health or a PhD alongside their DDS degree.

We are the only dental hygiene program in the state associated with a dental school. Offering programs at the baccalaureate and master of science level, our integrated program prepares oral health professionals to collaborate from their first day in the profession.

We became the first dental school in the nation to educate dental therapists in 2009. Dental therapists perform basic preventative services, drill and restore teeth for children and adults and remove primary teeth under the supervision of a licensed dentist. As of 2023, we have graduated 91 dental therapists from the program.

Our work affects virtually every person in Minnesota. We educate approximately 73% of the state's practicing dentists, 68% of licensed dental therapists, and 49% of dental hygiene educators. Our researchers develop and test restorative materials used by dentists around the world. We provide critical oral health care with more than 100,000 patient visits in our campus clinics and more than 16,000 patient visits at outreach sites in underserved communities throughout the state. We provide continuing dental education for 7,1000 practicing dental professionals each year.
