Summary:

  • The Provider Support Administrator (PSA) executes on tasks to support Provider services at the Chester County Hospital (CCH). This role covers specific support for the Chief Medical Officer (CMO) and for the Patient Safety and Quality Officer (PSQO) including: (1) budget and expense management for the MSO, (2) privileging and credentialing support for the MSO, and (3) operational logistics in support of the CMO and the Patient Safety and Quality Officer (PSQO.) This role manages the Provider services non-salary budget; and, with the Medical Executive Committee, manages the Medical Staff checking account. As a member of the Clinical Informatics Team, the Provider Support Administrator works in tandem with the Provider Provisioning Analyst to privilege, credential, and onboard/off-board members of the Medical Staff. They work collaboratively with the Chief Medical Officer, the Director of Clinical Informatics, the Medical Executive Committee, and other organization leaders to plan, organize, direct, and coordinate the programs and activities of the Medical Staff, thus ensuring that Medical Staff are supported and there is adherence to the requirements of regulatory and accreditation bodies. In addition, the Provider Support Administrator executes on tasks related to the PSQO's primary duties including but not limited to the establishment of a Family Medicine Residency program.

Responsibilities:

Budget and Expense Management:
  • Track the non-salary budget on a quarterly basis and confer with leadership on adjustments where needed.
  • Track, calculate, invoice and assure payment on contractual terms for medical director, elected position and variable on call compensation of medical staff members.
  • Manage time sheets for select contracted per diem providers.
  • Maintain the financial records and systems concerning dues and expenditures for the Medical Staff, including Medical Staff checking account. Prepares monthly and annual statements of the financial position for the Medical Executive Committee.
  • Submit reimbursement and expenses for CMO and PSQO
Privileging and Credentialing:
  • Manage Medical Staff and APP recredentialing and ensure that the recredentialing process is handled in an efficient, confidential, and timely manner.
  • Assist Applicants with completion of recredentialing application packets
  • Manages and coordinates with key stakeholders to ensure that all systems and downstream applications are up-to-date with demographic, licensing, medical privileges and practice/address/contact information changes related to changes, transitions and off-boarding.
  • Manage Medical Staff verification requests and COI requests
  • Pull Provider resumes/CVs for publication or other MSO needs
  • Administer the Late Career Practitioner Examination
  • Support/back-up the Provider Provisioning Analyst as needed
  • Manage Resident, Fellow and Scribe onboarding and ensure that the process is handled in an efficient, confidential, and timely manner.
  • Assist Applicants with completion of application packets.
  • Work in collaboration with PSQO to develop, implement and manage the Residency program until a residency coordinator is hired (anticipated in FY 27)
  • Manage the off-boarding activities including ticket submission to update downstream applications
Operational Logistics:
  • In conjunction with a clinical resource, maintain flu and vaccine compliance and report to Occupational Health and the state via state online portals.
  • Manage Medical Staff Annual Provider Education and compliance reporting
  • Prepare, distribute, and track FPPE packets
  • Distribute and track OPPE packets (prepared by Quality)
  • Plan, coordinate and manage Medical Staff and APP events and meetings
  • Schedule Quality reviews with physicians
  • Maintain Medical Staff and APP email Distribution Lists
  • Stock and order refreshments for Medical Staff Lounge
  • Ensure all Lounge equipment and technology is in working order, with regular reboots, stocking paper in the printers, cleaning PCs, and maintaining bulletin board, submitting tickets to fix broken or outdated items, etc.
  • Collaborate with Clinical Informatics to onboard new provider practices to use Qgenda software for Provider on-call
  • Assist provider practices to setup their on-call schedule in Qgenda
  • Ensure Contact information for Provider practices to call in consults is kept up to date
  • Provide back-up support to Clinical Informatics colleagues when needed to ensure all Qgenda schedules are maintained monthly.
Credentials:

    Education or Equivalent Experience:

    • Bachelor of Arts or Science (Required)
    • Bachelors degree Healthcare Degree Preferred Informatics, healthcare and/or Provider credentialing and onboarding experience preferred
