Description: Job Summary:

Under general supervision and in collaboration with other members of the health care team, the RO Assistant is the frontline presence for all patient experiences, with the main objective of turning one of the most stressful patient and family experiences into a positive, trustworthy and familiar experience each day. The RO Assistant is also responsible for: reception duties, creation of Physician, Simulation and Therapy appointment schedules in both ARIA and KPHC systems, creation of Physician schedule templates in both ARIA and KPHC systems, provides consistent and exceptional patient care on a daily basis, and supports Physician, Therapist, Nurse, and Simulation Tech during their daily routines. Perform all duties in a manner that promotes Partnership values and reflects KPNW mission and values. Represent KPNW service behavior standards and promote empathetic and emotionally intelligent care to the radiation oncology patient population and all other KPNW members and staff.

Essential Responsibilities:

  • Health Record Management: Order, track and locate prior radiation oncology treatment files and imaging studies, both internal and external to KPNW. Communicate with other members of the health care team any problems related to obtaining previous or pertinent member medical information. Locate imaging studies on PACS system and create CD for Physician prior to patient appointment. Maintain patient photos within ARIA health record. Ensure correct transfer of demographic information through KPHC interface to ARIA by following the correct order and procedure. Manage daily internal and external referral pool by contacting, appointing and assigning triaged referrals in a timely manner to support access management. Maintain wait-list functionalities in order to support return appointments. Support the physicians in schedule management, transfer of patient information and other daily tasks.

  • Reception Desk, Appointment Making: Greet patients and family members in a friendly and caring manner to ensure optimal delivery of customer service to patients, members and co-workers on the phone and in person using skills and abilities required for the radiation oncology patient population. Make patient appointments following the RO scheduling protocol per Physician and anatomical area of treatment site. Coordinate Physician appointment at IRO with concurrent appointments at Medical Oncology, as well as Simulation appointments within the Physician schedule. Take members digital photograph to be uploaded to patient file in ARIA at time of their initial consult. Greet member by name once patient is established; refer to patient name before patient health record number. Check patients in for appointments in both ARIA and KPHC in an accurate and timely manner to ensure proper function of demographic and billing interfaces. Handle challenging situations so that patient and organization needs are met. Minimize emotional situations for member; accommodates member when organization has let member down. Orientate patients to the RO department and define daily process that they should expect over their extended period of care. Determine patient status if late for therapy appointment, if patient is an inpatient, arrange transportation and coordinate with Nurse and Therapist staff members. Instruct, direct, educate, or problem solve situations for any patient presenting at desk or on the phone to ensure the member is taken care of, even if they are not a RO patient. Multi-task in order to greet and make initial contact with members presenting at the desk as well as incoming calls within 3 rings. Ensure member receives proper written instructions and preparation information for exams, triage questions to Nurses or Therapists as appropriate. Pick up and deliver inter-departmental mail. Maintain computer appointment schedule and files containing referrals.

  • Help control costs by utilizing supplies and staff in a cost effective manner. Look for ways to do things in an efficient manner.
Basic Qualifications:

Experience

  • Minimum six (6) months of experience in clerical position dealing with healthcare patients in a frontline setting.

Education

  • High School Diploma or General Education Development (GED) required.

License, Certification, Registration

  • N/A

Additional Requirements:

  • Final candidates will need to complete Contact Center Simulation assessment with minimum competency score of fiftieth (50th) percentile or higher.

  • Final candidates will complete approved medical terminology course within six months of date of hire.

  • Demonstrated flexibility and ability to take instruction.

  • Demonstrated skills in organizing and prioritizing.

  • Demonstrated command of the English language.

  • Intermediate keyboard or computer skills.

  • Demonstrates customer-focused service skills.

Preferred Qualifications:

  • One (1) year of prior clerical experience in a medical setting.

  • Kaiser work experience.

  • Experience with ARIA system.

  • KPHC scheduling, registration and check-in.

  • Basic knowledge of medical terminology.

  • Basic knowledge of radiation oncology.

  • Efficient data entry and typing skills.

  • Computer system and PACS knowledge.

  • Cadence template creation and management.

  • Multi-line telephone skills.
