Why does the job exist?

To primarily provide receptionist services in a long-term care facility including answering the telephone, directing inquiries and assisting residents, staff and visitors. Complete Administrative and resident related activities as assigned.

How does it get done?

-Coordinate and Complete Receptionist Duties: Greet all callers on the telephone or in person, promptly.
-Determine the type of assistance desired and refer to the appropriate individual or department.
-Maintain written record of all incoming visitors in appropriate logbook, entering the name of the visitor, badge number, date, arrival and departure times and purpose of their visit.
-Maintain and update directory of unauthorized visitors, ensuring Administrator or designee has signed and approved.
-Place calls for residents and staff upon request, explaining the nature of the call to the receiver, then transfer to the initiating individual and maintain resident contact list.
-Receive all incoming facility mail. Receive all outgoing facility letters and packages for mailing, including certified and overnight mail, ensuring it is addressed, weighed, posted and placed in mail receptacle.
-Maintain written record of all special postage services daily. If required, deliver the same to the post office. Maintain daily record of postage meter readings, ensuring that the ascending and descending balances are posted at the end of the shift. Prepare monthly report of postage expenditures.
-Perform postage machine maintenance as needed. Request funding to replenish low postage balance, transfer funding on to bank account and download postage into postage machine from the Internet.
-Receive donations brought into the facility, provide donor with receipt, prepare letter of acknowledgment signed by the administrator and record in appropriate logbook. Coordinate communications at the front desk during a fire alarm/drill as directed by the Incident Commander.
-Communicate clearly with residents, staff and visitors by the correct use of two-way radio and intercom systems.
-Shredding for facility from all departments.
-Set up applicant interviews, and obtain applicant reference checks, and assist applicants as needed.
-Maintain a clean and pleasant lobby and work area. Coordinate and Complete Clerical Duties: Update resident information and facility phone book as needed. Sell lunch tickets and prepare reconciliation.
-Maintain charge log including follow up for collection.
-Maintain resident trust account on weekends, including reconciliation and completion of all appropriate documentation. Distribute newspapers to residents and units as needed. Complete general office duties such as answering telephones, typing, filing, preparing correspondence, etc.
-Performs computer data entry.
-Compile and disseminate information or documents as requested by supervisor or departments.
-Request all necessary supplies for front desk functions from the warehouse or state approved vendor.
-Must attend all required training classes.
-Clean your office space and maintain any office equipment used to perform duties.

Who are the customers?

The primary customer are the brave men and women that answered our nations call, executed their duties and now are unable to live in their respective communities due to failing health. This job will also support the widows of the service men and women to include parents that have lost children in combat (Gold Star Parents)

Minimum Qualification

High School diploma or GED.

Employment Requirements

Employment is subject to criminal background check pursuant to New Mexico Caregivers Criminal Screening Act, (Sections 29-17-2 through 29-17-5 NMSA 1978 and 7.1.9.1 through 7.1.9.11 NMAC) and is conditional pending results.

Must possess and maintain a valid driver's license.

Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment.

Successful completion of the Health Insurance Portability and Accountability Act (HIPAA) training.

Must sign and observe confidentiality agreement.

Must be able to read, write, speak, and comprehend the English language.

Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required; Working hours may include weekends, holidays, overtime, and callback hours. Essential functions of the job and specific physical ability requirements will be available at the time of interview or may be obtained at the New Mexico Veterans' Home Human Resources office.

Working Conditions

Work is performed in an office setting within a long-term facility with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Walking throughout the facility and frequent communication and interaction with residents, staff, and the public. Periods of walking, standing, bending pushing, pulling, lifting, and stretching for a variety of activities may be required. Must be able to function under pressure and stressful situations Health hazards such as exposure to contagious viruses and diseases. May also include routine exposure to public, fellow employees, and facility resident illness, stressful situation, and bodily fluids, as well as exposure to physical and/or verbal abuse. Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required; some lifting; extended hours to meet deadlines will be required. Working hours may include on-call, nights, weekends, holidays, overtime, and callback hours.
